Position Summary

The Accounting Assistant provides crucial accounting and administrative support for multiple construction projects from initiation to final completion. This role entails managing overall project accounting tasks such as processing subcontractor and general conditions invoices, job costing, lien waiver tracking, and preparing monthly pay applications. The position involves tracking expenses—including time, materials, labor, and other costs—against project revenue and profitability to support sound financial decisions. Additionally, the role includes analyzing financial data, compiling reports, and participating in the yearly budgeting and forecasting process.

Key Roles and Responsibilities

  • Lead financial management of projects by recording daily financial activities, including general ledger entries for financial statements and monthly reconciliations.
  • Input project-related data into the accounting system to maintain accurate and timely job cost information, encompassing change orders, billings, budget adjustments, subcontractor payments, and invoicing.
  • Oversee general accounting processes for an off-site satellite office.
  • Collaborate with Project, Operations, and Engineering teams to understand and monitor project costs.
  • Evaluate and improve existing financial workflows and processes regularly.
  • Assist Project Managers in preparing and maintaining project budgets and monthly forecasts.
  • Manage month-end closing activities, including bank reconciliations and financial reporting.
  • Prepare cash flow and revenue forecasts.
  • Create and examine monthly operating and financial reports.
  • Support Project Managers with progress invoice preparation, change orders, and subcontractor management.
  • Demonstrate strong expertise in accounts payable and receivable.
  • Process all project invoices and track holdbacks effectively.
  • Generate and submit governmental reports as required.
  • Report project funding status to management and maintain accounting system project setups, account creation, and budget updates.
  • Assist with year-end financial close processes.
  • Perform additional duties as assigned.

Qualifications and Experience

  • Minimum of two years of accounting experience within real estate development or construction sectors.
  • Bachelor’s or college degree in finance or accounting.
  • Proficient in accounts payable and accounts receivable.
  • Familiarity with percentage-of-completion accounting for construction contracts is preferred.
  • Experienced in accounting software, particularly QuickBooks.
  • Advanced Excel skills with demonstrated competency.
  • Strong communication skills, both written and verbal.
  • Previous leadership experience is an asset.

Languages

  • Fluent in English.
  • Mandarin proficiency is mandatory.

Working Conditions

  • Full-time position, working Monday to Friday, 9:00 AM to 5:30 PM.
  • Work location at Head Office in Markham, Ontario.
