Role Overview
The International Headquarters Workplace Experience Programme Manager will oversee workplace experience initiatives and daily facilities management at the IHQ site, reporting to the Director of Workplace Experience EMEA & APAC. Primarily based onsite, this role involves managing operational activities, engaging stakeholders, supervising vendors, ensuring health and safety compliance, monitoring finances, and enhancing employee experience. Occasional international travel is expected.
Key Responsibilities
- Oversee workplace experience and daily facilities operations at the IHQ, maintaining a safe, efficient, and engaging environment for employees, leaders, guests, partners, and candidates.
- Manage all health and safety related activities, including site inspections, fire alarm testing, ensuring statutory compliance, promoting safe working practices, and occasionally responding to emergencies outside regular hours as part of the emergency response team.
- Administer budgets for hard and soft services, manage snack programs, coordinate events, handle contracting and invoicing processes, oversee purchase orders, and manage selected capital expenditure or refresh projects.
- Lead vendor performance management across facilities management, food and beverage services, landlord relations, and subcontractors through SLAs, SOPs, KPIs, and quality reporting to ensure continuous improvement and cost-effectiveness.
- Collaborate with internal business units to organize site events, manage executive briefing center activities, communicate with employees via SharePoint, TV screens, intranet, and other channels.
- Supervise the front-of-house experience by maintaining brand standards, managing visitor journeys, organizing reception coverage, standardizing procedures, and training cover teams.
- Support employee engagement by conducting weekly orientation for new hires, facilitating leadership meetings, site-wide all-hands events, addressing employee inquiries, overseeing ServiceNow ticketing, and promoting sustainability initiatives in partnership with the IHQ Green Team.
Candidate Requirements
- Demonstrable expertise in facilities and workplace experience management with practical experience in site operations and service delivery.
- Knowledgeable about key facility and technical systems including HVAC, critical environments, life safety, mechanical, electrical systems, and Building Management Systems (BMS).
- Skilled in health and safety protocols, incident response, budget oversight, vendor relations, and contract management.
- Strong stakeholder communication, collaboration skills, and ability to work effectively with leadership, employees, vendors, and business teams.
- Proactive, service-oriented approach with keen attention to detail and ability to balance operational demands while ensuring a high-quality experience for employees and visitors.
