Position Summary

The Recruiting Coordinator is central to creating a smooth and professional hiring journey for both candidates and new employees. This role supports the entire recruitment process, including interview scheduling, candidate and stakeholder communication, preboarding compliance, and ensuring new hires are ready to start. It is best suited to someone who is highly organized, precise, and comfortable working in a fast-moving team environment.

Key Responsibilities

Recruiting Coordination

  • Arrange candidate interviews and keep the interview tracker current with status updates.
  • Join weekly recruiting meetings.
  • Oversee the recruiting inbox and reply promptly to questions from candidates and internal partners.
  • Check the company LinkedIn inbox every day and respond to incoming messages.

Hiring Process Support

  • Complete a final review of candidate profiles and offer information before hire approval.
  • Start background check requests and send welcome emails to candidates.
  • Record new hires in the onboarding tracker and move the Workday status to Ready for Hire.
  • Track completion of all preboarding steps by the required deadlines, including background checks, drug screening, employee health steps, and credentialing.

Background Check and Drug Screen Administration

  • Follow the progress of background checks and drug screens in First Advantage and chase missing documents when needed.
  • Work with candidates to clear up mismatches in employment or education history.
  • Handle negative dilute or positive drug test outcomes according to policy, including reordering when necessary.
  • Answer candidate questions about background check status and procedure.
  • Notify candidates as soon as their background check and drug screen are cleared.
  • Carry out the pre-adverse action process when required.
  • Review and resolve discrepancies inside First Advantage.
  • Assist with the First Advantage and Workday integration through testing, process discussions, and matrix updates.

Preboarding and New Hire Assistance

  • Partner with Employee Health, Credentialing, HR Operations, and IT to make sure new hires are fully prepared for their start dates.
  • Monitor the new hire Slack channel, answer questions, troubleshoot issues, and escalate concerns when needed.
  • Act as a responsive contact for new hire questions throughout the preboarding stage.

Career Fair and Conference Support

  • Coordinate logistics for career fairs, recruiting events, and professional conferences, including registration, travel, and materials.
  • Keep the event calendar updated and ensure the recruiting team is prepared ahead of each event.
  • Order, track, and organize recruiting collateral, branded giveaways, and promotional items.
  • Collect candidate leads and resumes from events and enter them into the applicant tracking system quickly.

Additional Duties

  • Support recruiting and HR projects as assigned.
  • Look for ways to improve processes and share practical suggestions with the team.

Requirements

  • At least 1–2+ years of experience in recruiting coordination, HR support, or an administrative position.
  • Strong ability to stay organized and handle several priorities and deadlines at the same time.
  • Excellent written and spoken communication skills.
  • Very high attention to detail and a strong focus on accuracy.
  • Comfort using Microsoft Office Suite and learning new systems.
