Role Overview
The Project Management Office (PMO) is a crucial component of our Engineering division based in Sligo, Ireland. This role provides structured governance, integrated project scheduling, portfolio coordination, reporting, and operational support to ensure effective long-term project execution.
This position ensures that site projects are systematically planned, prioritized, tracked, and executed with clear visibility of timelines, dependencies, risks, resource management, and impacts on manufacturing activities. It involves collaboration with internal and external stakeholders to maintain aligned project schedules and governance processes, thereby facilitating informed decision-making across the project portfolio.
Responsibilities
- Create, maintain, and monitor integrated schedules for assigned site projects and workstreams.
- Collaborate with project teams to outline milestones, deliverables, dependencies, critical path activities, risks, actions, and decision points.
- Develop a comprehensive site-wide project schedule that aligns with project tasks, site priorities, resource availability, and manufacturing constraints.
- Work closely with business planners and site stakeholders to minimize disruptions to commercial plans and manufacturing operations.
- Track and communicate progress on milestones, project readiness, schedule adjustments, and key governance decisions.
- Prepare governance materials, including dashboards, status updates, action logs, risk and issue registers, and decision documentation for leadership review.
- Facilitate governance meetings with agenda preparation, output documentation, action tracking, escalation management, and follow-ups.
- Support prioritization efforts by delivering data-driven insights on schedule impacts, resources, risks, interdependencies, and business needs.
- Ensure consistency in project management tools, templates, reporting standards, and PMO processes across the project portfolio.
Key Competencies
- Solid understanding of PMO functions including project governance, integrated scheduling, project controls, portfolio reporting, and milestone tracking.
- Capacity to manage multiple projects and stakeholders amid competing deadlines and priorities.
- Detail-oriented with proficiency in maintaining schedules, dashboards, risk registers, action and issue logs, and decision records.
- Strong reporting and communication skills to clarify complex project information for leadership and cross-functional teams.
- Excellent organizational, planning, time management, and prioritization abilities with a results-driven approach.
- Problem-solving aptitude to identify schedule risks, resource limitations, interdependencies, and escalation triggers.
- Effective stakeholder management, facilitation, and influencing skills within a matrix environment.
- Fluent in written and spoken English.
- Collaborative mindset with ability to influence without formal authority.
Educational and Experience Requirements
- Bachelor’s degree or higher in Business, Engineering, Project Management, Science, Operations or a related field.
- At least 5 years of experience in PMO, project coordination, project controls, planning, engineering, manufacturing, pharmaceutical, biotechnology, or regulated site environments.
- Proven experience in supporting long-term and capital projects, managing project portfolios, integrated scheduling, governance, reporting, risk management, and stakeholder coordination.
- Knowledgeable in project management principles, scheduling, governance frameworks, project controls, reporting tools, risk and issue management, and manufacturing operating requirements.
