Position Overview
We are seeking a detail-oriented Operations Specialist to oversee and streamline inventory coordination, production tracking, logistics, cost management, and compliance for our fashion brand. This role requires strong cross-functional collaboration across production, sales, logistics, and regulatory teams to ensure smooth operation cycles and adherence to client expectations.
Key Responsibilities
- Manage Sales Order Requests from initiation through delivery, confirming shipping dates and overseeing factory coordination including special processes such as rework fees and labeling.
- Redirect excess unsold production to alternative clients in China to minimize make-to-stock inventory, reducing overhead and aligning stock with customer requirements or FOB terms.
- Track production progress from purchase order issuance to shipment, ensuring alignment with timelines and expectations.
- Resolve Minimum Order Quantity issues and packaging discrepancies in collaboration with merchandising and factory teams.
- Plan and manage weekly inventory flows from Asian production hubs to target markets, applying a Just-in-Time inventory model limiting shipments to three months' supply.
- Coordinate with vendors for consolidation plans across countries for efficient container use and timely deliveries.
- Oversee inbound logistics setup with third-party providers ensuring delivery appointments, carrier preferences, and advanced shipment notices are accurate.
- Support distributor onboarding by confirming labeling, ticketing, and shipping requirements.
- Handle customs and VAT documentation for UK and Europe markets, ensuring compliance and proper billing.
- Monitor container movement, address logistics issues, and manage export documentation including Schedule B and HS codes to ensure customs compliance across destinations.
- Maintain up-to-date HS code setup in the ERP system, validate classifications, and update shipping and production templates accordingly.
- Participate in holiday and event logistics planning to align deliveries with retail timelines.
- Manage transportation and rework fees, audit freight invoices, and collaborate with the accounts payable team to resolve cost discrepancies.
- Provide container load planning data via CBM analysis to assist sales teams and customers in assessing carton and piece capacities.
- Verify and update pricing lists, style descriptions, UPCs, label codes, and carton dimensions for consistency with system data.
- Coordinate with sales on licensing compliance including label placement, branding, and packaging standards for international customers.
- Maintain and audit ERP product data (Simparel), ensuring accuracy in pack sizes, label codes, and customer configurations.
- Ensure data integrity by cross-checking label requests and coordinating corrections with sales, production, and China teams.
- Manage the landed cost calculator for multiple international markets, incorporating royalty rates and freight costs, updating for new contracts and logistics changes.
- Support international product registration by preparing required documentation and tracking compliance schedules to facilitate timely market entry.
Compensation
The salary range for this position is $75,000 to $90,000 per year.
