Role Overview
We are seeking a full-time Office Manager for our Ocala, FL location. This role is pivotal in maintaining a structured, efficient office workflow. Responsibilities include managing patient inquiries, correspondence, billing statements, and collaborating with clinical staff to maintain performance standards. The role values workforce cultural diversity and individual differences, contributing to an inclusive work environment.
Key Responsibilities
- Provide support services to individuals and coordination for psychiatrists, PAs, and APRNs.
- Complete all relevant documentation punctually in line with organizational timelines.
- Organize and prioritize tasks to maximize clinic performance and productivity.
- Work collaboratively with team members to ensure positive and appropriate client experiences.
- Follow guidance and complete job functions as directed by providers and management.
- Assist physicians and nurses with direct patient care and administrative tasks including filing, chart maintenance, faxing, prescription programs, and telephone follow-ups.
- Maintain patient records, making copies and filing as necessary.
- Monitor voicemails daily, return calls, and resolve issues within 24 hours, documenting each interaction properly.
- Handle patient call triage and document interactions promptly.
- Review and respond to Athena system messages and inbox communications, involving providers when necessary and documenting all correspondence within 24 hours.
- Provide afterhours contact information to patients and document these interactions in patient charts.
Qualifications
- Bachelor’s degree in business administration or a health care-related field from an accredited institution; relevant experience may partly replace formal education.
- At least 3 to 5 years of experience in a healthcare setting.
Skills and Knowledge
- Strong oral and written communication abilities.
- Excellent time management and project coordination skills.
- High attention to detail, adept at problem-solving, and customer service-oriented.
- Exceptional interpersonal skills for working with diverse individuals and groups.
- Proficient knowledge of medical terminology is required.
Technical Proficiencies
- Experience with Electronic Health Records systems; preference for Athena platform familiarity.
- Competent with Microsoft Office suite.
