Position Overview
The Intake Supervisor role within the NYC Department of Consumer and Worker Protection's Licensing Division is tasked with managing all in-person licensing intake operations for the General Vending Unit. The Division licenses over 45,000 businesses across more than 45 industries, ensuring compliance with local laws and fostering fair competition in New York City’s marketplace. This role reports directly to the Deputy Director of the General Vending Unit and is vital for maintaining efficient, high-volume in-person service.
Key Responsibilities
- Manage daily in-person intake activities, guaranteeing effective staffing and consistent service quality throughout operating hours.
- Lead, mentor, and oversee intake staff, monitoring performance and offering immediate guidance to optimize accuracy and efficiency.
- Ensure timely and precise collection of licensing fees, verifying adherence to proper procedures for all accepted payment methods.
- Perform daily financial reconciliations and closing procedures, address discrepancies, and keep thorough transaction records.
- Supervise the processing of in-person license applications, confirming collection of all necessary documentation and payments, and advancing applications without delay.
- Identify operational inefficiencies and resolve them, escalating complex issues when needed.
- Coordinate with the Client Manager and Back Office teams to facilitate smooth applicant transitions and uphold consistent service experiences.
- Monitor daily intake volume and adjust staff assignments dynamically to reduce applicant wait times.
- Assist with application processing and payment collections as a backup when required.
Qualifications and Skills
- Completion of high school education or equivalent recognized by an accredited organization.
- At least one year of satisfactory clerical experience.
- Proficiency in keyboarding with a minimum speed of 100 keystrokes (approximately 20 words) per minute.
- Strong supervisory and training capabilities.
- Experience handling financial transactions accurately and capable of performing daily reconciliations.
- Ability to maintain operational flow and resolve logistical challenges promptly.
- Fluency in an additional language besides English is advantageous.
Eligibility and Additional Programs
Only permanent employees holding the civil service title, comparable titles under section 6.1.9, participants reachable via the civil service list, or those eligible for the 55a program may apply. The position allows for up to two remote workdays per week under a Flexible Work Pilot Program.
