Key Responsibilities
- Efficiently manage the VP's calendar by coordinating appointments and resolving scheduling conflicts independently.
- Act as the primary liaison between the VP and internal/external parties, handle email communications, and respond promptly to inquiries that do not require escalation.
- Organize meetings and events, including securing venues, managing budget and catering, preparing agendas, and coordinating with external vendors to ensure event success.
- Prepare and coordinate materials for important meetings, such as Board of Directors sessions.
- Arrange complex domestic and international travel plans and manage timely expense report submissions.
- Draft, review, and organize key documents, reports, and presentations; occasionally present materials to leaders and team members.
- Support special projects by assisting with planning, execution, and ensuring deadlines are met.
- Maintain strict confidentiality when handling sensitive information and exercise sound judgment consistently.
- Facilitate onboarding for new team members, prepare workspaces and office resources, and mentor administrative staff as needed.
- Coordinate team culture initiatives and support the planning of team meetings, offsites, and company events to enhance team cohesion.
- Provide administrative escalation support within the team and coordinate administrative staff meetings to share information.
Candidate Profile
- Bachelor’s degree in business or a related field, or equivalent education and experience combination.
- 3 to 5 years of administrative experience, with at least 1 year supporting senior directors, VPs, or higher executives in a complex corporate environment.
- Excellent communication skills, both written and verbal, with strong reading, writing, and math capabilities.
- Experience working alongside high-profile stakeholders such as executive leadership or notable collaborators.
- Self-motivated with the ability to work autonomously, manage multiple priorities, and navigate ambiguity effectively.
- Detail-oriented with strong problem-solving skills and resilience in a rapidly changing environment.
- Previous experience in event planning and budget management preferred.
- Proficiency with Microsoft Office (Outlook, PowerPoint, Word, Excel), virtual meeting platforms (Zoom, MS Teams), and familiarity with Keynote and AI tools like ChatGPT or Microsoft Copilot is advantageous but not mandatory.
- Reliable discretion when dealing with confidential matters is essential.
- Willingness to occasionally work beyond standard business hours.
- Prior experience working at Nike is highly desirable.
