Role Overview

We are looking for a seasoned Executive Assistant to join our Charlotte, NC office in a full-time capacity. The Executive Assistant will primarily support the Office Managing Partner and several attorneys, ensuring smooth daily operations.

Key Responsibilities

  • Manage complex calendar schedules and deadline alerts, arranging both internal and external meetings.
  • Handle incoming emails by reading, sorting, and prioritizing appropriately.
  • Arrange travel plans and accommodations.
  • Process expense reimbursements utilizing the Emburse platform.
  • Enter attorney time records into the InTapp system, collaborating closely with the Billing Department.
  • Liaise with other internal departments to ensure cohesive functioning.
  • Prepare correspondence, memoranda, legal paperwork, and forms using Microsoft Word.
  • Screen phone calls, record messages accurately, and communicate them promptly.
  • Uphold strict confidentiality related to client and firm matters.
  • Maintain organized departmental filing systems.
  • Operate common office technology such as copiers and scanners.
