Role Overview
We are looking for an Event Operations Intern to contribute to our growing events function, ensuring each in-person dinner, party, and workshop designed for founders and HR/People teams is executed flawlessly, punctually, and up to premium standards. This role emphasizes hands-on, practical learning, working closely with our events team to manage detailed logistics that transform good events into memorable experiences.
Key Responsibilities
- Assist in managing all operational aspects of events including venue selection, catering arrangements, vendor coordination, audiovisual setup, event schedules, merchandise management, and readiness on the event day.
- Participate onsite to help with event setup, execution, and teardown, proactively filling in where required.
- Maintain the premium and thoughtful presentation of every event in alignment with Alma's brand identity.
- Develop and refine repeatable operational checklists, timelines, and playbooks tailored for various event types.
- Organize and update event documentation, maintain vendor lists and track relevant metrics.
- Assist in monitoring budgets, staffing requirements, and relationships with vendors in line with the event calendar.
- Work collaboratively with the events team to implement plans through effective on-the-ground logistics.
- Coordinate timelines, follow-ups, and actions to ensure multiple events proceed smoothly in parallel.
- Provide clear, regular reports on progress, pending tasks, and areas needing support.
- Document operational learnings from each event, identifying what facilitated success and what introduced challenges, and apply this insight to future events.
- Track expenditures against budgets, timely flagging any anomalies.
- Contribute innovative ideas to continuously improve the quality and efficiency of our events as their frequency increases.
Candidate Profile
- Currently enrolled in school within the Bay Area and able to commit 3 to 6 months working more than 12 hours per week.
- Experience organizing events through clubs, organizations, part-time roles, or personal initiatives, with enthusiasm for logistical execution behind events.
- A passion for crafting memorable and positive experiences for event attendees.
Not Suitable If:
- Prefer strategy over hands-on logistics and executing event details.
- Dislike detailed coordination, managing vendors, or working onsite during events.
- Feel uncomfortable navigating ambiguity or being the problem-solver during unplanned changes.
