Overview
The University of Colorado Boulder's Advancement department seeks a Development Assistant to join the CU Athletics/Buff Club team. This full-time, on-site role supports the advancement team by managing diverse administrative duties with discretion and confidentiality, primarily related to donors, faculty, staff, and various stakeholders. Operating under the Assistant Athletics Director, Director of Stewardship, Events, and Engagement, the position integrates multiple administrative functions with a strong focus on advancement activities.
Responsibilities
- Utilize donor database information to produce reports, spreadsheets, and correspondence.
- Coordinate and schedule meetings internally and externally for the advancement team.
- Prepare and distribute financial and administrative documents, including personalized donor communications.
- Track donations and event payments; process donor gifts and checks efficiently.
- Manage routing and documentation of fund and vendor agreements.
- Support event preparations and onsite execution when needed.
- Engage with the division’s Administrative Team and participate in scheduled meetings.
- Assist with special projects as assigned.
- Serve as a donor liaison, fostering relationships through tailored engagement and stewardship initiatives.
- Conduct research on prospective donors to aid in donor identification, cultivation, solicitation, and stewardship.
- Maintain accurate donor records, notes, and strategic plans in the database, sharing updates with team members.
- Promptly respond to donor and constituent inquiries professionally.
- Prepare detailed briefing reports for stewardship activities.
- Track and report engagement data for Buff Club and Alumni C Club events, coordinating with Advancement SEAL Team to meet university goals.
- Assist with donor event planning, logistics, staffing, and follow-up communication.
- Manage Buff Club acknowledgment programs and personalized stewardship mailings across all gift levels.
- Support stewardship plan tracking, focusing on membership levels, scholarship donors, and leadership gifts with collaboration from Major Gift and Annual Giving teams.
- Help administer Buff Club scholarship donor programs, including match facilitation and stewardship coordination.
- Prepare and distribute impact reports showcasing philanthropic contributions to Buff Club supporters.
- Handle office management duties such as phone call screening, message delivery, mail processing, expense report preparation, purchase requisitions, and inventory maintenance.
- Act as liaison between Buff Club advancement team and internal/external contacts, conducting research and facilitating information flow.
- Occasionally work evenings and weekends as required.
Qualifications
- Bachelor’s degree or comparable experience accepted on a year-for-year basis.
- Minimum of one year of relevant work experience.
- Excellent written and verbal communication skills.
- High attention to detail and accuracy in task execution.
- Curiosity and problem-solving aptitude.
- Strong customer service orientation.
- Proficiency in navigating and managing multiple databases.
- Ability to multitask, prioritize, and meet deadlines effectively.

Preferred Qualifications
- Experience or familiarity with non-profit or higher education sectors.
- Background in customer service or operations roles.
- Knowledge of Adobe Creative Suite (Photoshop, Illustrator, InDesign) to assist with donor communications.
- Familiarity with Microsoft Office, donor tracking systems (Salesforce/BSR Advance), Zoom, Teams, DocuSign, Marketplace, Concur, and Paciolan.
Compensation and Benefits
The annual salary range is $55,000 to $65,000. Relocation support is available under institutional guidelines. Benefits include athletic event tickets (subject to Athletic Department policy and NCAA rules) and Nike Elite Employee benefits in accordance with Nike Elite policy.
