Role Overview

This position reports directly to the line manager and designated team members. The key focus is to efficiently manage end-to-end onboarding and offboarding processes, ensure regulatory compliance with UAE labor laws, and support overall HR operational excellence.

Key Responsibilities

  • Manage comprehensive onboarding activities including document collection and verification (passports, visas, educational certificates), coordinating with IT, Payroll, and Procurement for timely provision of equipment, system access, joining kits, and medical insurance.
  • Conduct pre-joining welcome calls with new employees to clarify documentation needs, joining procedures, and answer preliminary questions.
  • Maintain accurate and timely data management across onboarding trackers, HR dashboards, and HRIS systems to enable informed management decisions.
  • Collaborate with PROs to handle government formalities such as issuance of UAE labor contracts, work permits, Emirates IDs, and medical clearances through relevant government portals.
  • Ensure prompt activation of employee benefits including medical insurance enrollment and payroll processing.
  • Coordinate the offboarding process by managing notice periods, asset retrieval (laptops, mobile phones, IDs), and preparation of termination documentation ensuring a respectful exit experience.
  • Liaise with Payroll to verify and process final settlements including end-of-service benefits, leave encashments, and reimbursements in compliance with UAE labor regulations.
  • Manage compliance on employee exits by delisting from governmental and company systems, minimizing risks and preserving records.
  • Serve as the primary point of contact for HR operational queries, delivering accurate policy guidance to employees, managers, and external parties.
  • Oversee company SIM card distribution, activation, and reconciliation while maintaining records and controlling costs.
  • Administer employee benefit plans including medical insurance, allowances, and wellness programs ensuring accurate enrollment and renewals.
  • Provide payroll with precise information on workforce changes and compensation details to avoid errors or delays.
  • Organize and preserve complete employee files (both digital and hardcopy) in adherence to UAE Mainland laws and internal standards.
  • Prepare reports and dashboards detailing onboarding/offboarding metrics, compliance status, and process turnarounds to support leadership decision-making.
  • Identify opportunities to enhance and streamline repetitive HR processes to improve efficiency and reduce errors.
  • Support audit and inspection processes by preparing documentation to demonstrate compliance with company policy and UAE labor law.
  • Contribute to digitization and automation projects to optimize HR processes for scalability and accuracy.

Qualifications and Experience

  • Bachelor’s degree in Business, Human Resources, or a related discipline.
  • 3 to 5 years of relevant experience in People Operations or HR roles specifically within the UAE Mainland context.
  • Strong understanding of MOHRE procedures, UAE labor law, and statutory compliance.
  • Proven ability to manage large volumes of onboarding and offboarding activities in a dynamic environment.
  • Proficient with HR information systems, Microsoft Office, and Google Workspace tools.
