Position Summary
Stellar Virtual is hiring a highly organized, proactive Talent Operations Specialist to support a fast-growing People & Culture function. Reporting to the Director of People & Culture, this role will run the recruiting process for both internal and external candidates, with a focus on making the hiring journey smooth, fair, and engaging.
You will also act as the main administrator and internal expert for the company’s Insperity applicant tracking system, which runs on BrightMove. In partnership with hiring managers, you will help shape hiring plans, build strong candidate pipelines, and keep recruiting data clean and accurate.
Key Responsibilities
In this role, you will manage sourcing, screening, hiring-manager coordination, and recruiting operations. The position covers full-cycle recruiting for assigned openings, plus internal mobility support, candidate experience, and ATS administration.
Sourcing and Screening
- Manage end-to-end recruiting for assigned openings, including writing job descriptions, publishing roles, and overseeing candidate flow.
- Find strong external talent through channels such as LinkedIn, job boards, and professional networking.
- Coordinate the internal hiring and transfer process so current employees have clear opportunities to move within the organization.
- Run early-stage screening interviews to evaluate qualifications, cultural fit, and alignment with Stellar Virtual values.
- Deliver a candidate experience that is responsive, clear, and transparent from application through offer.
Hiring Manager Partnership
- Lead intake discussions with hiring managers to understand role expectations, team setup, and the profile of the ideal hire.
- Advise hiring managers with market context, interview guidance, and coaching during selection.
- Organize interview debriefs and help move hiring decisions forward efficiently and objectively.
Systems and Recruiting Operations
- Act as the go-to expert for the Insperity ATS powered by BrightMove, handling requisitions and candidate stages inside the system.
- Maintain strong data quality and system discipline, while training managers and interviewers on proper ATS usage.
- Use BrightMove reporting and analytics to monitor recruiting metrics such as time to fill, source of hire, and pipeline conversion, then share insights with the Director of People & Culture.
- Continuously look for ways to improve recruiting workflows, reduce manual work through automation, and strengthen hiring operations overall.
Qualifications and Requirements
The ideal candidate brings 4 to 5 years of experience in talent acquisition, recruiting operations, or human resources, ideally in a fast-moving or remote-first environment. Hands-on ATS administration experience is important, and direct familiarity with Insperity ATS / BrightMove is strongly preferred. Experience with Google Workspace / Suite is also desired.
You should be highly organized, detail-oriented, and able to keep data accurate. Success in this role also depends on your ability to build trusted relationships with cross-functional leaders and hiring managers, communicate clearly in writing and speaking, present employer branding effectively to candidates, and adapt quickly in an evolving virtual environment.
