Overview
The Senior Clerk in the Scholarship Section plays a critical role in managing and processing student scholarship applications efficiently and accurately. The position involves ensuring adherence to government regulations and institutional policies to facilitate the smooth disbursement of scholarships to eligible students.
Key Responsibilities
- Receive and meticulously verify scholarship applications along with supporting documentation from students.
- Maintain comprehensive and up-to-date scholarship records and eligibility databases.
- Assess student eligibility according to government and institutional scholarship criteria.
- Prepare and submit scholarship proposals and sanction lists punctually.
- Interact with government portals for application processing, renewals, verification, and reconciliation activities.
- Coordinate effectively with various departments, the accounts section, and students to address queries and resolve issues.
- Track the progress of scholarship applications and communicate timely updates to students.
- Ensure that scholarships are disbursed on schedule while keeping rigorous transaction records.
- Organize scholarship registers, physical files, and digital data systematically.
- Support audits, inspections, and reporting as needed by institutional authorities.
- Address student questions and provide guidance on scholarship procedures.
- Fulfill additional duties assigned by the Scholarship Officer or Assistant Registrar.
Educational and Professional Qualifications
- A bachelor’s degree in any discipline is required.
- Preference will be given to applicants with certifications in Office Management or Computer Applications.
Experience
- Between 2 to 4 years of experience in scholarship processing, academic administration, or a comparable area.
- Familiarity with government scholarship portals and related documentation is beneficial.
Skills and Competencies
- Good understanding of government scholarship schemes and procedures.
- Proficiency in Microsoft Office applications, especially Excel, Word, and PowerPoint, along with data entry skills.
- Exceptional accuracy and attention to detail for record maintenance.
- Strong organizational and time management abilities to handle multiple tasks within deadlines.
- Excellent communication and interpersonal skills.
- High integrity and confidentiality in managing sensitive student data.
