Position Overview
Degan, Blanchard & Nash seeks a reliable and detail-focused Office Administrative Assistant / Receptionist to support everyday activities at our Baton Rouge office. The role includes clerical tasks, document management, research, and general upkeep of the workspace. Ideal candidates will be proactive, organized, and thrive in a dynamic work environment.
Key Duties and Responsibilities
- Maintain cleanliness and a welcoming atmosphere in the office, including preparing coffee, tidying the kitchen, organizing the lobby, and setting up conference rooms for meetings or depositions.
- Manage incoming mail by opening, sorting, stamping, and distributing to relevant personnel.
- Assist with handling legal documents by serving pleadings, filing paper copies, preparing file folders, and managing electronic files from discs or drives.
- Conduct jury pool research by contacting the Clerk of Court, compiling juror data spreadsheets, and evaluating juror credibility via online methods.
- Provide backup support for the primary switchboard operator, answer calls, collect information, and relay messages through email or voicemail.
- Handle shipping duties including receipt and dispatch of packages, verifying supply orders, inventory organization, and maintenance of shipping records.
- Perform electronic filing of legal paperwork, transcribe dictated notes, and input attorney time into the Coyote system.
- Fulfill other assigned responsibilities as needed.
Qualifications
- Minimum education of high school diploma or equivalent; training in administrative or receptionist tasks is advantageous.
- Experience in receptionist roles, switchboard operation, or customer service, particularly within legal or professional service settings, preferred.
- Competence with multi-line telephone systems.
- Strong verbal and written communication skills.
- High level of organization and detail orientation.
- Capability to multitask effectively in a fast-paced environment.
- Proficient with Microsoft Office applications including Word, Outlook, and Excel.
- Professional and personable approach with a focus on client service.
Physical Requirements
- Able to lift items weighing up to 15 pounds as necessary.
