Role Overview

In this position, you will report to the Program Manager and work closely with assigned Project Manager(s) to keep project activities moving forward. The focus of the role is to help coordinate tasks, track milestones, and support the smooth execution of assigned projects.

Key Duties

  • Help prepare projects in InEight Estimate software for execution.
  • Support PMO document control and record management.
  • Track projects through closeout and into archiving.
  • Work with Project Manager(s) to build, issue, and maintain detailed schedules; review them with key subcontractors, incorporate feedback, and update progress on a daily and weekly basis.
  • Coordinate project cost tracking with the Project Manager(s).
  • Attend meetings with owners and consultants when needed, and prepare meeting minutes if requested.
  • Support the administration of client contract processes such as revisions, requests, instructions, change orders, and non-conformance reports.
  • Assist with quarterly project forecasts, or more frequent updates when required.
  • Help the Project Manager(s) and Construction team prepare bid documents.
  • Contact subcontractors to obtain competitive pricing during bid preparation.
  • Support site foremen with ordering materials and tracking delivery timelines.
  • Assist with progress claims and coordinate them with the Project Manager(s) and accounting team.
  • Help ensure site procedures, meeting routines, schedule controls, and unit-cost reporting practices are properly established and maintained.
  • Make sure owner and consultant instructions are shared, followed, and reflected in updated plans and specifications.
  • Follow up on self-perform and subcontractor performance, project issues, and contractual disputes as directed by the Project Manager(s).
  • Maintain project files, records, drawings, and specifications in an organized manner.
  • Process timesheets, daily work orders, and time-and-material forms as needed.
  • Coordinate QA/QC inspections and procedures, support deficiency list preparation and distribution, and help track corrective actions and re-inspections.
  • Use strong communication, organization, estimating knowledge, site procedure understanding, computer skills, and interpersonal skills to help keep projects running efficiently.

Requirements

  • Post-secondary studies in business administration or project management would be considered an advantage.
  • Exposure to construction management software, especially InEight Estimate and Viewpoint, would be helpful.
  • Previous experience in the construction sector would be an advantage.
  • Strong working knowledge of Microsoft Office Suite, especially SharePoint, Word, and Excel.
  • A highly detail-focused approach to work.
  • Strong written and spoken communication skills.
  • Good time-management ability and the capacity to handle several priorities at once.
  • Ability to work effectively both as part of a team and independently.
