Role Overview

Wellblūm is looking for an Operations Lead to build and maintain the internal systems, processes, and reporting setup that help the agency operate efficiently and scale responsibly. The role partners closely with the Managing Director and CEO to turn a founder-driven way of working into structured, repeatable processes without creating friction for client work.

This is a practical, hands-on operations position rather than a strategy-only role. The ideal person has worked inside an agency environment such as marketing, advertising, or affiliate/performance marketing and understands the operational issues that appear as an agency grows.

Core Responsibilities

Design and manage the agency’s operating rhythm, including weekly and monthly meetings, team check-ins, client health reviews, pipeline discussions, and reporting cycles so key follow-ups do not rely on the founder’s memory.
Convert informal knowledge into usable SOPs for areas such as onboarding, affiliate program launches, reporting, and contract-to-launch handoffs.
Coordinate with Affiliate Directors, Affiliate Managers, Account Coordinators, and finance to keep tasks, handoffs, and deadlines on track.
Own the tools and systems used for project management, reporting, and communication, including platforms such as Monday, Asana, ClickUp, Zapier, and Slack, along with practical use of AI tools like Claude for automations and API/token management to reduce manual reporting and workflow effort.
Build standardized infrastructure for client delivery, including onboarding frameworks, QBR and reporting templates, and account health tracking across affiliate networks and related platforms.
Support finance and operations by helping maintain invoicing schedules, client margin tracking, and contract renewal timelines.
Remove recurring operational decisions from the CEO’s workload so leadership can stay focused on sales, partnerships, and business development.

Required Background

At least 3 years of experience in agency operations, preferably in a marketing, advertising, or affiliate/performance marketing agency of boutique or mid-size scale.
Working knowledge of affiliate or performance marketing processes, such as program setup, platform reporting, and client account management.
Demonstrated ability to create or run SOPs, reporting cadences, or project management systems in a services-based business.
Experience working closely with founders or small leadership teams and the ability to operate independently in ambiguous situations while bringing structure to the work.

Preferred Experience

Background in a boutique agency during a high-growth phase.
Direct familiarity with affiliate networks and platforms such as Impact, Awin, Rakuten, Levanta, LTK, ShopMy, Superfiliate, or TikTok Shop.
Experience building client-facing reporting structures or QBR processes.
Working knowledge of contracts, SOWs, or insurance/compliance touchpoints in an agency setting.

Employment Details

The role can be structured as either a contract/fractional engagement for an experienced operator seeking flexibility or a full-time position for the right long-term fit. For a full-time hire, benefits include insurance and a 401(k), among others. The arrangement will be tailored to the candidate’s experience and availability.
