Role Overview
As our Office Manager based at the Melbourne headquarters, you will be crucial in supporting our leadership and team, ensuring smooth daily office operations. This role demands high autonomy, strong decision-making, and adaptability within our rapidly evolving startup environment.
Key Responsibilities
- Manage daily office operations to provide effective administrative and operational support across the organization.
- Oversee office facilities, equipment, suppliers, and service providers to maintain a safe and productive environment.
- Handle office procurement, including sourcing supplies and equipment, managing supplier relations, and supporting office budgets.
- Coordinate office maintenance, renovations, and facilities projects by collaborating with internal teams and external contractors.
- Maintain accurate and organized office records, business systems, and operational documentation complying with company policies.
- Arrange domestic and international travel plans for employees, covering flights, accommodations, transportation, and itineraries.
- Assist in organizing company meetings, events, onboarding processes, and other workplace initiatives to enhance employee engagement and operations.
- Manage corporate expenses, business transactions, reconciliations, and office-related financial administrative tasks.
- Collaborate with leadership, employees, and external stakeholders to facilitate business operations and resolve operational issues.
- Provide executive administrative assistance to the leadership team, including document preparation and prioritization support for strategic initiatives.
- Help review and refine office systems, workflows, and administrative processes to improve efficiency and support growth.
Requirements and Skills
- Diploma-level or higher qualification.
- Prior experience as an Office Manager or similar administrative leadership is preferred but not mandatory.
- Exceptional organizational and communication capabilities with keen attention to detail.
- A proactive learner eager to acquire new knowledge and skills beyond comfort zones.
- Highly self-motivated, organized, and detail-oriented individual.
- Strong proficiency with Microsoft Office Suite (Word, Outlook, Excel, etc.).
- Ability to prioritize effectively and manage multiple tasks across various managers in a fast-paced setting.
- Comfort with ambiguity and openness to exploring unknown aspects.
- Self-driven yet collaborative, promoting teamwork across departments.
- Initiative taker who handles both big and small tasks with equal importance.
