Role Overview
The Office Administrator is vital in facilitating daily office functions and establishing a welcoming first contact for visitors and callers. This role involves close coordination with internal and external stakeholders to maintain smooth front office operations, ensure safety and security compliance, and support employee engagement actively.
Key Responsibilities
- Manage front office tasks including reception duties, visitor coordination, call handling, meeting room arrangements, records management, and policy adherence.
- Handle comprehensive domestic and international travel planning, maintain vendor partnerships, ensure compliance with travel policies, and provide prompt resolutions to travel-related challenges.
- Oversee physical security aspects such as access control, CCTV monitoring, visitor management, emergency protocol implementation, audits, and incident documentation to foster a safe working environment.
- Develop and facilitate employee engagement activities, wellbeing initiatives, events planning, recognition programs, and serve as the main liaison for facilities-related employee support.
- Lead office expansion efforts, including relocation, space allocation, vendor collaborations, budget management, and ensuring operational continuity during transitions.
- Manage SAP Non‑Trade Procurement processes by creating purchase requests with accurate financial coding, maintaining policy compliance, collaborating with Finance and Procurement teams, and preparing for audits.
Qualifications and Skills
- Bachelor’s degree in Business Administration or a related discipline.
- Prior experience in administrative, front office, or client-facing roles is beneficial.
- Excellent communication and interpersonal abilities with a strong customer service mindset.
- Proven capability to multitask while ensuring high accuracy and keen attention to detail.
- Competent in using office technologies, telephone systems, and general computer applications while maintaining confidentiality and professionalism.
