Role Overview
The Lubricant Coordinator will manage the production and importation of lubricants ensuring smooth operations across multiple stakeholders including blending partners and suppliers to support a volume exceeding 3000 tonnes annually.
Key Responsibilities
- Coordinate lubricant production with our blending partner LSC Jamaica by managing purchase orders, production schedules, follow-up communications, and receipt documentation.
- Oversee export processes, including order acknowledgment, production planning, container booking, invoice control, SAP inventory entries, and preparation and dispatch of export documentation (Commercial invoice, Caricom invoice, packing list, Certificate of Origin).
- Manage orders for products manufactured outside Jamaica by promptly preparing purchase orders, coordinating with internal suppliers, validating shipping documents, and ensuring timely invoicing and SAP entries.
- Maintain adequate inventory levels of raw materials such as base oils, additives, and packaging supplies to prevent production interruptions, including updating and monitoring relevant dashboards daily.
- Lead implementation of new packaging items such as bottles and pails in Jamaica.
- Handle product code creation and extensions within SAP systems.
- Manage lubricant importation by preparing purchase orders, tracking supplier ETAs, coordinating with brokers to avoid demurrage, and ensuring invoice validation and timely SAP processing.
- Collaborate with procurement to benchmark freight forwarders, verify negotiated rates and conditions, and monitor freight cost trends.
- Respond to client quality complaints by analyzing issues, coordinating with sales teams, and providing timely resolutions.
- Maintain AEO certification by conducting inspections, training, and reporting.
- Update monthly supply activity reports with relevant performance indicators.
- Perform additional duties as assigned by the Supply Manager.
Environment and Accountabilities
This role operates within an international context involving diverse external and internal partners and suppliers, communicating primarily in English. It supports a key business area for TotalEnergies Marketing Jamaica Limited with an emphasis on on-time logistics, clean operations, and high customer service standards.
Required Qualifications and Experience
- Bachelor’s degree in Operations Management, Logistics Management, Chemical Engineering, or a related field.
- Proven organizational abilities with capacity to manage multiple tasks in a dynamic workplace.
- Strong analytical and decision-making skills with prioritization capabilities.
- Advanced IT knowledge including SAP expertise.
- Familiarity with CARICOM treaties and lubricant blending processes.
- Minimum of three years’ experience in a comparable role.
