Role overview
Kaizen Automotive Group is hiring a well-organized, people-oriented HR Coordinator / Administrative Assistant to support its expanding corporate team.
This is a broad, practical position that brings together HR coordination, recruitment support, executive administration, and everyday business operations. The role offers exposure to onboarding, employee engagement, HR recordkeeping, leadership support, and general office coordination.
The company is open to a recent graduate with a Human Resources background who wants to begin a career in the field, as well as an experienced Administrative Assistant or Executive Assistant who would like to move into HR and recruitment work or deepen that specialization.
As the organization grows, the position may develop further into areas such as Human Resources, Talent Acquisition, People Operations, Employee Engagement, Executive Support, or Corporate Administration.
Key duties
- Manage recruitment coordination tasks, including posting roles, communicating with candidates, arranging interviews, and keeping information current in the applicant tracking system.
- Help with onboarding and pre-employment steps to support a smooth experience for new hires.
- Assist with engagement activities such as recognition initiatives, surveys, internal updates, and company events.
- Maintain accurate employee files, HR documents, trackers, and other sensitive people-related records.
- Coordinate career fairs, hiring events, employer branding activities, and other talent attraction efforts.
- Provide administrative assistance to executives and department leaders, including scheduling meetings, preparing documentation, and following up on action items.
- Handle travel and accommodation arrangements, expense claims, courier requests, office supply needs, and other daily administrative tasks.
- Support licensing submissions and renewals, dealer agreements, vendor coordination, and compliance-related paperwork.
- Help organize company meetings, staff events, appreciation initiatives, and special projects.
- Contribute to changing HR, recruitment, administrative, and operational priorities as the business continues to expand.
Candidate profile
Applicants should have a diploma, certificate, degree, or equivalent experience in Human Resources, Business Administration, Office Administration, or a related discipline.
Strong organization, the ability to juggle multiple priorities and deadlines, and comfort working in a busy environment are important for success.
Clear written and spoken communication skills are needed, along with the confidence to deal with candidates, employees, leaders, and outside partners.
Good working knowledge of Microsoft 365 is required. Experience with an ATS, HRIS, payroll system, or other business software would be an advantage.
The ideal person will be proactive, adaptable, resourceful, careful with details, and able to manage confidential information appropriately.
