Role overview
OpenSky Data Systems is hiring a seasoned and well-organised HR Administrator to support its people function and daily office operations in Naas, County Kildare. The position reports to the Head of People Transformation and is central to keeping HR administration and wider people processes running smoothly across the business.
As the company expands, it is strengthening its People Culture capability. This opportunity offers direct exposure to a broad range of HR activities within a fast-moving, technology-led environment. The business is looking for someone who is comfortable adopting new tools, interested in how AI and digital systems can improve HR work, and motivated to help shape people practices in a scaling tech organisation.
This is not a maintenance-only role. The company wants a proactive professional who will bring ideas, look for smarter ways to work, and grow alongside the function.
The preferred candidate will have at least 3 years of experience in HR administration or a closely related role, together with practical knowledge of HR practices and employment legislation.
Employment details
Employment type: permanent, part-time. Location: Naas, Kildare.
HR administration responsibilities
- Keep the HR system and employee files current and accurate, while safeguarding confidentiality for staff across the Irish and Polish offices.
- Serve as the initial contact for routine employee questions and refer matters onward to the People Culture Manager when needed.
- Prepare employee letters and other standard HR correspondence.
- Support recruitment and onboarding by arranging paperwork and induction schedules.
- Independently plan and monitor performance review schedules, ensuring documents are ready and timelines set by the Head of People Culture are met.
- Maintain daily records so payroll updates can be completed accurately at month-end.
- Assist with training and development coordination, including tracking or scheduling Microsoft certification renewals for staff.
- Review and help prepare documentation for visa applications.
- Write and share internal communications with strong accuracy, presentation, and appropriate tone.
- Provide general administrative help across HR processes as required.
Office administration responsibilities
- Help manage the day-to-day running of the office through correspondence handling, document preparation, and follow-up on action points.
- Arrange schedules and meeting or event logistics, including room bookings, calendar invites, travel, and accommodation.
- Support adherence to company policies, health and safety requirements, and quality standards.
- Plan and take ownership of staff events in both Poland and Ireland, contributing creative ideas to improve engagement.
- Represent the organisation professionally when dealing with employees, visitors, and outside contacts.
- Oversee office upkeep and supplies.
- Treat sensitive information with discretion and confidentiality.
- Look for ways to improve administrative workflows and office efficiency.
Experience and qualifications
This role calls for at least 3 years of experience in HR administration or office administration within a professional setting. A qualification in Human Resources, Business Administration, or a similar field is preferred. Applicants must be EU passport holders and based in Ireland. Strong Microsoft Office skills, especially Outlook, Word, and Excel, are essential. The role also requires excellent communication, stakeholder management, professionalism, discretion, integrity, attention to detail, and a solutions-focused approach. Knowledge of Irish employment law is required, while familiarity with Polish employment law is advantageous but not mandatory.
