Role Overview

The Finance Operations Specialist acts as a crucial link between finance and operational departments. Responsibilities encompass managing financial operational tasks such as vendor management and invoice processing, while also fostering collaboration with business units to ensure financial accuracy, adherence to controls, and procedural efficiency. This position demands strong attention to detail, analytical problem-solving skills, and clear communication.

Responsibilities

  • Oversee the complete procure-to-pay process, including issuance and approval of purchase orders, invoice verification, and ensuring vendor payments are processed punctually.
  • Serve as the main contact for internal inquiries regarding purchase orders and invoices, offering prompt support and resolution.
  • Authorize purchase orders ensuring accurate general ledger and cost center allocations in compliance with control policies and budget considerations.
  • Conduct supplier statement reconciliations and coordinate with Accounts Payable to address pending issues.
  • Develop and maintain productive relationships with various departments such as Operations, Procurement, Marketing, and HR to optimize finance-related workflows.
  • Provide financial insights and guidance to non-finance teams to enhance understanding of profit and loss impacts and budget management.
  • Analyze vendor expenditures, shipping costs, and operating expenses to pinpoint cost drivers and opportunities for savings.
  • Identify and implement improvements in finance operations, including process automation and efficiency upgrades.
  • Participate in special finance projects and collaborate on cross-departmental initiatives focused on strengthening controls and efficiency.
  • Support training initiatives for non-finance personnel to ensure consistent application of financial processes and systems across the organization.

Candidate Profile

  • A bachelor's degree in Finance, Accounting, Business Administration, or a related discipline.
  • Certified Public Accountant (CPA) qualification or equivalent certification.
  • Minimum of four years' experience in finance operations and accounts payable roles.
  • Prior experience in the pharmaceutical industry is considered advantageous.
  • Strong proficiency with ERP systems such as SAP, Oracle, or Workday, coupled with advanced Microsoft Excel capabilities (pivot tables, formulas).
  • Demonstrated problem-solving skills, particularly in complex procurement and financial scenarios.
  • Exceptional attention to detail with high accuracy in financial data entry and reconciliation.
  • Excellent written and oral communication skills, capable of effective interaction across multiple stakeholders including vendors and internal teams.
  • Adaptable and resourceful with the capacity to prioritize tasks and meet deadlines within a dynamic environment.
