Role Overview
The Executive Assistant to the CEO is a full-time position based in Orlando, FL, primarily onsite with some remote work flexibility. This role provides comprehensive administrative support to the CEO, managing schedules, coordinating meetings and travel, and preparing reports and presentations. Responsibilities include diary management, handling confidential information with discretion, drafting correspondence, supporting special projects, and ensuring efficient communication and office operations.
Key Responsibilities
- Manage CEO's calendar, arrange complex meetings, and balance competing scheduling priorities.
- Coordinate travel plans and prepare detailed expense reports and related financial documentation.
- Draft, proofread, and prepare internal and external communications and presentations.
- Maintain confidential records and oversee office administrative processes.
- Support special projects and facilitate cross-department communication.
- Ensure the CEO is fully prepared for meetings and strategic initiatives.
Qualifications and Skills
- Proven experience as an executive assistant or in executive-level support, preferably collaborating with senior leadership.
- Expertise in diary management, calendar coordination, and prioritizing tasks.
- Proficient in preparing and reconciling expense reports and basic budget tracking.
- Strong administrative abilities including document preparation and record keeping.
- Excellent written and verbal communication with high attention to detail.
- Ability to handle sensitive and confidential information with professionalism and discretion.
- Strong organizational and time management skills, capable of working independently and meeting deadlines.
- Familiarity with productivity and collaboration tools such as Microsoft Office, cloud calendars, and video conferencing.
- Experience supporting executives in financial services, real estate, construction, or related sectors is advantageous.
- Associate or bachelor's degree in Business Administration, Communications, or related fields preferred, or equivalent experience.
