About the Role

This full-time position supports the Head of the Financial Institution Group (FIG) team based in London, offering high-level executive assistance. The role is primarily onsite at 100 Bishopsgate requiring presence four days a week. The assistant will manage complex diaries and prioritise tasks to meet the team's dynamic needs.

Primary Responsibilities

  • Manage busy, intricate calendars with foresight, balancing the FIG team's priorities and independent handling of last-minute changes.
  • Coordinate meetings with senior client executives by liaising discreetly with their assistants and fostering strong professional connections.
  • Organize corporate events, conference calls, and meals, including booking meeting rooms and managing refreshments.
  • Arrange detailed domestic and international travel plans, including visas, accommodations, itinerary management, and expense claims with the flexibility to adapt plans urgently.
  • Perform administrative duties such as processing expenses via Concur, updating CRM call reports, and managing invoice requests.
  • Communicate effectively and professionally at all organizational levels.

Qualifications and Skills

  • Proven experience as an Executive Assistant, capable of independent operation with meticulous attention to detail.
  • Proficiency in Microsoft Outlook, Word, Excel, and PowerPoint coupled with strong verbal and written communication skills, demonstrating tact and diplomacy especially with senior executives.
  • Ability to remain calm and adaptable when handling urgent requests or unexpected situations.
  • Experience managing diverse personalities and workloads effectively.
  • Excellent organizational, problem-solving, and time management capabilities.

Preferred Credentials

  • Familiarity with Concur, Workday, and CRM systems is advantageous.
  • Prior experience supporting executives in the financial services sector is highly desirable.
