Job overview
The ECA & CCA Incharge will work closely with the school leadership team to strengthen co-academic programs and support well-rounded student growth, in line with NVN’s educational approach. The position calls for energy, strong communication, patience, and outcome-focused leadership under the guidance of school management.
Planning and coordination
- Create the yearly schedule for ECA and CCA activities together with the Heads of School and circulate it to all departments.
- Arrange inter-house and inter-school contests, along with arts, music, and other co-curricular programs.
- Work with the CO-MCB incharge to share activity choices with parents by June 5 and complete student enrolments by June 15.
- Group students by performance level by the end of July.
- Carry out three assessments a year for Primary and four for Secondary, with grading based on results.
Activity management
- Plan and supervise extracurricular sessions such as visual arts, performing arts, and clay modelling.
- Keep complete records of attendance and student performance.
- Ensure safety compliance and meet coach-related requirements.
- Spot student talent and help develop it further.
Daily responsibilities
ECA
- Oversee the day-to-day execution of ECA classes according to the timetable.
- Perform random checks on attendance and student involvement.
- Identify each student’s strengths for advanced support.
- Regularly connect with coaches to review training issues and resolve gaps.
CCA
- Make sure weekly CCA activities run smoothly.
- Coordinate practice time slots for students.
- Collect participant lists from House Masters for entry into MCB.
Weekly responsibilities
ECA
- Lock in the weekly plan by Friday.
- Monitor student progress and identify those suitable for Hobby Clubs.
- Check the quality of implementation and share gaps in weekly meetings.
- Gather absentee details from teachers and follow up with students.
- Ensure syllabus coverage updates are uploaded by Saturday.
- Coordinate with Parent Coordinators to collect parent feedback.
CCA
- Prepare the approach for upcoming CCA activities and present it in HOI meetings.
- Confirm participants 10 days ahead and update the information in MCB.
- Submit material requests 15 days in advance and make sure arrangements are in place.
- Update ECA/CCA reports in MCB by Saturday.
- Attend weekly HOI meetings and maintain the minutes.
- Conduct ECA staff meetings every Saturday and record the minutes.
- Complete circulars and judge-panel finalisation one week before the event.
Periodic responsibilities
- Brief House Masters on their roles and finalise their responsibilities.
- Prepare and submit an annual budget for ECA and CCA activities.
- Conduct student assessments every six weeks and track level-wise progress.
- Identify students for external competitions and prepare them accordingly.
- Record and update external achievements and participation in CBSE cluster events in MCB.
Qualifications and requirements
- A Master’s degree in a relevant discipline, along with B.Ed., is required.
- At least 10 years of experience in ECA/CCA coordination is needed.
- Working knowledge of MS Office is essential.
- Strong verbal and written communication skills are important.
- Good planning, organisation, and interpersonal abilities are expected.
- The candidate should be a collaborative team player.
Physical and workplace expectations
- The role requires meeting performance expectations and following school safety procedures while working.
- Regular punctuality and consistent attendance are mandatory.
