Role Summary
The Document Controller will be responsible for organizing, controlling, and maintaining project documentation in line with AECOM standards and RTA requirements. The role requires strong accuracy, document traceability, and timely circulation of records to all relevant stakeholders.
Key Responsibilities
- Administer and keep current the document management system such as Aconex or EDMS.
- Log, monitor, and circulate incoming and outgoing project documents including drawings, reports, RFIs, and submittals.
- Apply correct numbering, revision management, and version tracking for all records.
- Store and archive project documentation according to company and client procedures.
- Liaise with engineers, consultants, contractors, and RTA representatives to manage document flow.
- Ensure documents are submitted on time and follow up on approval status with the client.
- Handle transmittals and coordinate document workflows among all parties involved in the project.
- Verify that documentation meets RTA standards and project-specific requirements.
- Carry out quality reviews before any submission is made.
- Maintain records that are complete, organized, and ready for audit.
- Prepare weekly and monthly reports covering document status, approvals, and delays.
- Track pending items, overdue submissions, and outstanding approvals.
- Maintain registers for RFIs, submittals, drawings, and correspondence.
- Support the rollout and use of document control procedures.
- Provide training to project staff on document control systems when needed.
- Control access to documents and help safeguard document security.
Requirements
- A Diploma or Bachelor’s degree in Engineering, Business Administration, or a closely related discipline.
- Between 5 and 12 years of experience in document control, ideally on infrastructure projects.
- Prior exposure to RTA or comparable government authority projects is a strong advantage.
- Working knowledge of MS Office applications, especially Excel, Word, and Outlook.
- Hands-on experience with Aconex, EDMS, or SharePoint.
- Basic familiarity with AutoCAD drawings is preferred, though not mandatory.
- At least 3 years of professional experience in the UAE is mandatory.
