Position Overview
This role acts as the primary liaison for clients, managing communication through phone calls and emails to address inquiries and requests. The Coordinator handles data entry and retrieval within computer databases, maintaining up-to-date records, files, and reservations. Standard office equipment operation and the preparation of correspondence, memos, and various documents using word processing and spreadsheet software are essential functions of this role. Additionally, transmitting information through digital or traditional methods while ensuring accuracy and completeness through careful proofreading is expected.
Key Duties and Responsibilities
- Serve as the main contact point for clients and respond promptly to their questions and needs via phone and email.
- Update and manage information in company databases, including guest records and reservation systems.
- Operate office equipment beyond computers, such as fax machines and mail systems.
- Draft and edit written materials including letters, memos, and presentations using relevant software tools.
- Maintain professionalism by adhering to all company policies, ensuring a clean uniform and personal appearance, and safeguarding confidential company information and assets.
- Greet and attend to guests in line with company standards, including assisting guests with disabilities and expressing genuine appreciation when thanking guests.
- Communicate clearly and professionally both verbally and in writing; handle incoming calls with proper etiquette.
- Foster positive working relationships with colleagues and other departments to support team objectives and respond suitably to employee concerns.
- Report workplace accidents, injuries, and unsafe conditions to management as required.
- Physically handle objects weighing up to 10 pounds as part of job duties.
- Perform any other reasonable assignments as directed by supervisors.
