Position Summary
Island Records is seeking an Administrative Assistant to report directly to the EVP of Marketing & Business Development and provide support to several marketing team members. The ideal candidate must exhibit exceptional attention to detail, strong organizational abilities, and the capacity to handle multiple urgent tasks concurrently. Maintaining a high standard of integrity and discretion when managing confidential information and professionalism in liaising with senior professionals internally and externally is critical. The role demands efficiency, multitasking skills, and the ability to thrive under tight deadlines and pressure. A proactive, solution-oriented mindset is essential.
Key Responsibilities
- Manage administrative office functions including calendar management, scheduling meetings, coordinating travel arrangements, expense submission, and note-taking.
- Support all marketing department facets such as product management, touring marketing, advertising, branding, and oversee backend processes for marketing projects like purchase orders, invoices, and agreement processing.
- Build and sustain relationships with artists, artist management teams, and internal stakeholders.
- Develop and maintain artist marketing documents such as one-sheets, marketing plans, and pitch presentations utilizing PowerPoint, Keynote, and Google Slides.
- Organize and manage artist asset folders and coordinate creation with content teams.
- Coordinate artist promotional schedules and manage artist travel bookings.
- Plan and implement special marketing events.
- Oversee marketing-related invoices and administer the marketing budget using Excel and Google Sheets.
- Collaborate with production teams to schedule music releases.
Qualifications and Skills Required
- Bachelor’s degree is preferred.
- At least 1 year of experience as an administrative assistant, receptionist, or equivalent internship experience.
- At least 1 year of experience handling travel bookings and calendar management.
- Passion for discovering music and involvement in the creative process.
- Awareness of current music trends, artists, and digital media channels.
- Comfortable interacting with all organizational levels, including senior management, as well as external partners and clients.
- Exceptional attention to detail, strong follow-through, excellent problem-solving aptitude, and organizational skills.
- Self-driven, resourceful, and proactive in task management.
- Ability to handle shifting priorities and multitask effectively in a fast-paced environment.
- Superior customer service, written and verbal communication skills.
- Strong proficiency with Microsoft Office Suite.
- Familiarity with creative software such as Adobe Creative Suite, Keynote, and related applications.

Salary
The salary range for this position is $40,520 to $45,000 per annum. The final salary offered depends on various factors including qualifications, experience, skills, education, certifications, and candidate location.
