Role Overview
The Nevada State Contractors Board is hiring a full-time Accounting Assistant located in Reno, Nevada. This role reports directly to the Fiscal Service Manager and involves supporting a variety of accounting tasks crucial to the organization's financial operations.
Key Responsibilities
- Manage accounts payable procedures, including invoice processing, payment tracking, and communications with vendors and internal teams regarding billing issues.
- Verify invoices against purchase orders, resolve discrepancies, and submit them to the Fiscal Manager for approval.
- Maintain and update cash bond accounts by recording deposits, withdrawals, interest, and coordinating monthly invoicing and fee tracking for licensees.
- Update the Disciplinary Actions worksheet to track costs and fines levied against licensees and manage overdue payments involving state collections.
- Ensure adherence to company policies and basic accounting procedures.
- Manage and update inventory lists for the Nevada State Contractors Board and the state.
- Support the preparation of financial reports and assist in conducting audits, including annual audit requirements.
- Process and collect funds related to returned checks, reporting on these transactions monthly and quarterly.
- Coordinate vehicle-related administrative tasks such as renewal tracking, smog certificates, and license plate paperwork; complete monthly vehicle trip reports as required by law.
- Maintain organized filing systems for invoices, correspondence, and records, including digital storage to minimize paper use and storage needs.
- Assist with payroll processes including accurate tracking and processing of 1099 forms at year-end.
- Manage unclaimed property submissions annually in accordance with state laws.
- Perform additional accounting and administrative duties as assigned by management.
Qualifications and Experience
- Completion of at least two years of college with focus on accounting courses or four years of relevant professional office experience.
- Previous experience handling general ledger functions.
Skills and Competencies
- Strong grasp of accounting fundamentals, including debits and credits.
- Proficient in Microsoft Word and Excel.
- Excellent verbal and written communication abilities.
- Organized, detail-oriented, and capable of meeting tight deadlines.
- Previous experience in accounts payable and receivable.
- Familiarity with accounting software systems.
Salary and Benefits
The starting salary ranges from $42,875 to $63,825 annually, depending on experience. Employees are offered a comprehensive benefits package including medical, dental, vision coverage, and participation in 401 and 457 pension plans. Note that employees are not enrolled in the Nevada P.E.R.S. retirement program due to the quasi-state agency status.
