Job description
Job Purpose
- Manage all accounting and financial documentation associated with project accounts payable and payments.
- Accurately classify all project expenses utilizing the standard accounting codes.
- Ensure all Accounts Payable, CAPEX, and Work In Progress costs are entered into the accounting system and paid promptly.
- Generate various reports including project liability reports, purchase order registers, payment registers, and other ad hoc financial reports as required.
- Coordinate project loan payments with the Treasury Manager and oversee contract and purchase order registers.
- Manage financial statements related to escrow accounts and support annual external audits concerning project accounts payable and payments.
- Carry out bank reconciliations and prepare monthly ADPIC reporting packs, including quarterly reconciliations.
Key Responsibilities
- Verify completeness of payment checklist, including three-way matching, prior to processing all payments and ensure all RFPs have proper approvals and documentation.
- Ensure timely receipt and accurate entry of payable invoices with correct accounting codes at least two weeks before payment dates.
- Make sure all payments are accurate, timely, and funds availability is confirmed before disbursal.
- Ensure completeness of all liabilities and month-end closing for accounts payable.
- Prepare monthly reconciliations of advance payments and retention payables with PPCs and contracts.
- Allocate costs to projects accurately monthly within SAP accounting system.
- Compile monthly supplier advance payment reconciliations and cash forecasting, and prepare reports for submission to ADPIC by the 2nd of each month.
- Maintain updated contract and purchase order registers and produce monthly liabilities reports.
- Support month-end and year-end closings, including accrual bookings and monthly as well as quarterly vendor reconciliations.
- Collaborate with internal teams and external parties such as government bodies, banks, auditors, and legal advisors.
- Adhere to company office hours, dress code, and professional ethics.
Qualifications and Experience
- Bachelor’s degree in Accounting, Finance, or related discipline.
- Minimum of 3 years experience in general accounting.
- Strong knowledge of fundamental accounting procedures.
- Comprehensive understanding of IFRS accounting standards.
- Proficient user of SAP accounting software.
- Advanced skills in Microsoft Excel.
