Patient Onboarding Associate

About the Role

Luna Physical Therapy is hiring a part-time Onboarding Associate to support patients as the first point of contact. The company has been modernizing physical therapy since 2018 with award-winning technology and proven care models, operating across 28 states and partnering nationwide to make access to therapy easier and more effective.

In this role, you will help new and existing patients with calls, scheduling, and general coordination, while delivering a professional and compassionate experience. The position is remote, but hiring is limited to specific U.S. states because of payroll and employment rules.

What You Will Do

• Handle incoming patient calls and help manage registration, appointment booking, and rescheduling.
• Collect, verify, and share important patient details such as identification, medical history, insurance information, missed-appointment policies, therapist arrival instructions, and intake paperwork.
• Answer, screen, and route calls from healthcare providers as needed.
• Reach out to patient leads by phone and email to support scheduling and follow-up.

Requirements

• At least 1 year of office administration experience is required.
• At least 1 year of call center, contact center, or other high-volume phone experience is preferred.
• Strong customer service mindset with excellent interpersonal and communication skills.
• Comfort working with Google Suite.
• Strong attention to detail and accuracy.
• Ability to manage multiple tasks in a busy, fast-moving environment.
• High school diploma or equivalent.
• Must be authorized to work in the United States without restrictions.
• Reliable high-speed internet is required, along with a backup internet option to avoid disruption during outages.
• Applicants for the fully remote setup must live outside a 50-mile radius of the Nashville office.
• Only candidates in the following states and areas are currently eligible: AR, KY, MS, SC, Norfolk VA, Virginia Beach VA, WV, AL, FL, GA, ID, MI, MO, IN, NJ, OH, TX except Houston, TN, and WI.

Schedule

This is a part-time role with a fixed weekly schedule. Available shifts run on Friday through Tuesday, with the exact hours varying by time zone: 7:30 AM–11:30 AM PST, 9:30 AM–1:30 PM CST, or 10:30 AM–2:30 PM EST.
