Role summary
Omnicom Global Solutions is looking for a highly organized Executive Assistant Specialist to support senior leadership and wider commercial operations. The position suits someone who works well in a busy, fast-moving setting and can keep executive tasks, coordination, and day-to-day operations running smoothly.
This role is based in Hyderabad as the primary location, with Bangalore or Gurugram as secondary locations. The schedule runs from 2:00 pm to 11:00 pm IST, and shifts move to 3:00 pm to 12:00 am IST during daylight savings. The working model is hybrid, with three in-office days each week. Only candidates who can join immediately will be considered. The expected experience level is 6 to 8 years.

Executive support
- Prepare, track, and submit timesheets and expenses for the Executive Leadership Team and selected leaders.
- Arrange domestic and international travel, including air tickets, accommodation, and local transport.
- Keep executive calendars up to date and free from scheduling conflicts.
- Support meeting preparation through materials, coordination, and logistics handling.
- Respond to ad hoc administrative needs from the Executive Leadership Team.
Operational coordination
- Work with commercial and engagement teams to ensure timesheets are completed accurately and on time.
- Build effective working relationships with internal teams and operational groups such as SSC, Paige, and Building Services.
- Organize All Hands meetings, including speaker coordination, deck preparation, and recording arrangements.
- Maintain distribution lists, manage email access, and support onboarding for new employees.
Project and event support
- Assist with internal programs such as DiverseTeam and Culture Club.
- Help maintain client lists used for surveys, holiday cards, and gifting activities.
- Partner with the Operations Lead to plan and monitor team training schedules.
- Support travel planning for spokespeople and logistics for client-facing meetings.
Qualifications and skills
- A bachelor’s degree in business administration, human resources, or a related area is required.
- At least 5 years of relevant experience in executive support or a similar role is preferred, especially in an agency or fast-paced corporate environment.
- Experience supporting senior leaders and handling commercial operations is important.
- Strong command of Microsoft Office tools such as Excel, PowerPoint, and Outlook is needed.
- Comfort using video meeting platforms like Zoom, WebEx, and Teams is expected.
- Exposure to timesheet and expense systems will be useful.
- Power BI familiarity is considered an added advantage.
- Excellent spoken and written communication skills are required.
- High attention to detail, strong organization, discretion with confidential information, and the ability to juggle multiple priorities and deadlines are essential.
