Role purpose
This position is responsible for managing the full lifecycle of lease contracts for real estate assets. The focus is on ensuring contracts are prepared correctly, activated properly, documented accurately, and monitored in line with approved policies, procedures, delegation of authority, and relevant regulatory requirements.
The role is designed to protect the company’s interests by keeping contractual data and documents accurate, managing rights and obligations, overseeing renewals, amendments, terminations, and vacate processes, strengthening compliance and operational control, reducing financial and operational variances, supporting steady revenue, improving data quality, and enabling better decisions for real estate portfolio management and asset investment efficiency.
Lease contract management
- Oversee the end-to-end handling of lease agreements, starting from contract preparation through to final approval.
- Review lease contracts, addenda, and related agreements to confirm that all documents are complete and approved according to the authorized approval matrix.
- Check special terms and contractual annexes to ensure they align with applicable regulations, internal policies, and procedures.
- Supervise contract registration and documentation within the Ejari platform and other related systems.
- Manage contract activation in property management systems, link contracts to property units and tenant files, and keep contract status updated.
- Prepare payment schedules and financial due dates, ensuring alignment with contract clauses and approved payment methods.
- Verify that contract information matches across internal systems and government platforms, and resolve any inconsistencies or conflicts.
- Issue and approve contract activation notices for relevant departments after all regulatory and operational requirements have been completed.
- Track contract expiry dates and follow up on notices related to renewals, terminations, and contractual obligations.
- Oversee contract renewal procedures and assess contracts before renewal based on rent value, tenant history, and compliance level.
- Review amendment requests, ensure all required approvals are obtained, and update the financial and operational impact of the contract.
- Evaluate special contractual cases such as contract assignment, space changes, or exception requests, and submit the necessary recommendations.
- Coordinate with relevant departments to ensure commercial, operational, and financial aspects are aligned before any contractual decision is approved.
Contract compliance and risk management
- Monitor tenant adherence to contract terms and record any breaches, violations, or contractual exceptions.
- Identify contractual risks, analyze their impact, and recommend suitable actions to reduce exposure and limit consequences.
- Work with the legal department on disputes, claims, and cases arising from lease contracts.
- Ensure compliance with real estate regulations, internal policies, and approved controls.
- Confirm completion of financial settlement procedures, recovery of guarantees, and closure of contractual obligations.
- Keep contract and unit status updated in the approved systems.
Reporting and performance analysis
- Prepare periodic and executive reports covering contracts, renewals, terminations, defaults, and contractual risks.
- Analyze contract data to identify opportunities to improve revenue and increase contract management efficiency.
- Monitor the quality of contractual data and ensure it remains accurate and reliable to support decision-making.
Team leadership
- Lead and develop the contract team, allocate tasks, and monitor performance.
- Improve employee capability through coaching, training, and development of contractual knowledge.
- Promote a culture of compliance, governance, and quality in contract management.
Qualifications and experience
A bachelor’s degree in Business Administration or a related field is required.
The role requires 8 or more years of experience in lease contract management.
Strong communication, interpersonal, and negotiation skills are essential.
Fluency in both Arabic and English is required.
