Role overview
We are seeking a proactive and exceptionally organised Team Assistant to support a growing team in Germany. In this position, you will help keep the office operating efficiently while assisting the wider business with administration, research, and coordination work.
The role is varied and practical, suited to someone who likes taking initiative, solving problems, and contributing day to day in a busy office environment. You will work closely with colleagues across different functions, so strong communication, teamwork, and accuracy are important.
Key responsibilities
- Organise internal strategy days and offsite meetings, and support HubSpot event pages and email marketing activity.
- Provide dependable, flexible help across a range of projects and ad hoc tasks, including desk planning and basic data entry.
- Keep the office stocked, organised, and running well by ordering supplies, arranging breakfast and refreshments, and managing routine communication with the landlord.
- Receive and process invoices, handle correspondence with German authorities such as social security offices, and coordinate with HR and finance teams in London when required.
- Arrange team travel, including BahnCard setup, bookings, loyalty programme support, and reimbursement administration.
- Work with the London team on website updates and assist with translations or content changes for new topics and team members.
- Support the Managing Director and colleagues with research on topics such as new markets, investor categories, and asset classes, and help prepare internal presentations.
What the employer is looking for
- Previous experience in a team assistant, administrative, or office coordination position.
- Native-level German and fluent English, both spoken and written, with the ability to communicate clearly with colleagues and external contacts.
- Strong organisational ability, attention to detail, and the capacity to manage several deadlines at once.
- Good working knowledge of Microsoft Office and willingness to learn tools such as HubSpot.
- Confident communication skills for working with multiple teams and managing external correspondence.
- A self-motivated approach, with the ability to spot what needs doing and take action.
