Role overview
The Project Coordinator reports to the Director of the PMO and serves as the operational support hub for the Project Management team. In this position, you will provide the administrative and tactical support that allows Project Managers to stay focused on strategic and client-facing work. You will help strengthen the foundation of project delivery by keeping the behind-the-scenes processes organized, accurate, and moving efficiently.
This role is ideal for someone who is highly organized, takes initiative, and pays close attention to detail. If you enjoy creating structure, improving processes, and making sure work flows smoothly, this position is a strong fit.
Key responsibilities
- Turn approved sales orders into active project records in the company’s internal systems and confirm that the project information is correct.
- Support procurement coordination by checking product lists, notifying Finance when items are ready to be purchased, and following shipments and deliveries for the Project Manager.
- Keep the central resource calendar current, manage urgent scheduled items, and flag possible conflicts before they create issues.
- Maintain the accuracy and overall health of PMO systems such as ConnectWise and TopLeft by overseeing weekly time-entry compliance and regularly reviewing project cards for correct status updates and workflow adherence.
Requirements
- At least 2 years of experience in project coordination, sales support, or operations, ideally in an IT services or professional services setting.
- Strong sense of accountability and a genuine interest in improving processes.
- Excellent organization and time-management abilities.
- Solid analytical and troubleshooting skills, with curiosity about project management best practices.
- Clear written and verbal communication skills.
- Prior exposure to an MSP environment or a PSA platform such as ConnectWise is a plus.
Work schedule and location
This is a hybrid position based in Brooklyn, NY. The expectation is one in-office day per week during the off-season and as many as four in-office days per week during peak season. Working hours are Monday through Friday, 9:00 AM to 5:30 PM EST.
Compensation
The annual salary range for this role is $60,000 to $80,000.

Interview process
The hiring process is designed to move quickly. Communication about interviews will come from the company’s recruiting email address through Greenhouse. Depending on the role, the process may be adjusted or expanded, and candidates will be informed in advance.
- Initial screening call with HR for 30 minutes
- Technical interview with the Hiring Manager for 45 minutes
- Panel interview with the Hiring Manager and Department Director for 60 minutes
- Executive interview, if needed
