Role overview
This position supports procurement, logistics, and warehouse operations through hands-on administrative and coordination work. The main purpose of the role is to keep documentation moving on time, maintain supplier follow-up, prepare reports, and strengthen internal controls. It also contributes to cost management, plant continuity, and readiness for shutdown activities.
Key responsibilities
- Help uphold health and safety standards across the procurement function by working in line with the company’s global safety requirements and encouraging a safe working environment.
- Track, secure, and renew legal agreements on schedule, working with Legal, procurement negotiators, and other stakeholders to close documentation gaps and keep records current.
- Request, confirm, and file the insurance documents required for contracts, checking that coverage, validity, and compliance are in order and flagging any risks before execution.
- Support the handling of vendor statements by following up on outstanding requests, helping reconcile balances, and coordinating with suppliers and Finance to resolve exceptions quickly.
- Assist suppliers with portal access and account-related issues, monitor open support tickets, and follow through until each issue is resolved.
- Prepare and update weekly and monthly procurement follow-up reports covering items such as purchase orders created, requisitions awaiting creation, agreements due for update or renewal, and negotiator-level status updates.
- Support logistics cost reduction efforts by tracking avoidable expenses such as demurrage, storage, overtime, and expedite charges, while following up on root causes and action plans.
- Carry out random warehouse checks to confirm documentation accuracy, bin correctness, labeling, and housekeeping standards, then record findings and coordinate corrective actions with warehouse leadership.
- Keep the shutdown kitting list current, coordinate with Procurement, Warehouse, and Maintenance to confirm availability and delivery dates, and escalate shortages early.
- Monitor expediting files and delivery progress for admixtures and packing materials, track supplier commitments and exceptions, and provide timely updates to operations.
- Follow corporate ethics, procurement policy, purchase-to-pay controls, documentation standards, and audit requirements at all times.
- Support market intelligence and supplier onboarding by helping identify and assess new local and international suppliers, gathering documents, checking data completeness, and assisting negotiators during qualification.
- Expedite local purchase orders that are critical or above the defined monetary threshold, tracking delivery commitments, constraints, and delays to protect continuity of operations.
- Create spot purchase orders for one-off procurement needs, ensuring there is no overlap with other negotiators’ responsibilities and that pricing, documentation, and policy compliance are verified before release.
- Perform unit price comparisons and trend reviews across suppliers, contracts, and purchase orders to identify pricing variances, savings opportunities, and unusual patterns.
- Analyze procurement and supplier data to highlight trends, risks, and improvement opportunities, and share recommendations, alerts, and performance insights with management and negotiators.
Requirements
- A bachelor’s degree in Supply Chain, Procurement, Logistics, Business Administration, Engineering, or a closely related field.
- Advanced Microsoft Excel skills.
- Strong accuracy, attention to detail, and commitment to data integrity.
- Good planning, organization, and the ability to perform well under pressure.
- Background in warehouse controls, inventory practices, and audit procedures.
- Exposure to project coordination or following up on project tasks.
- Clear communication skills and a customer-focused approach.
- Comfortable working both independently and as part of a team.
- Knowledge of ERP tools such as SAP and reporting tools like Power BI is an advantage.
- Flexibility to work varied schedules as needed.
- At least 5 years of experience in procurement and supply chain operations, including contract documentation, supplier follow-up, purchase order and requisition administration, logistics support, and warehouse audits.
