Operations Coordinator - Dubai

Role Overview

This position is for the Watches & Fine Jewelry boutique at Mall of the Emirates in Dubai. The Operations Coordinator supports the day-to-day running of the boutique by overseeing stock control, logistics, reporting, quality checks, and key administrative tasks so that operations stay aligned with CHANEL standards and procedures.

Work Environment and Stakeholders

The role reports to the Watches & Fine Jewelry Deputy Manager and works closely with internal teams such as Sales Assistants, the Fashion Operations Manager, WFJ Business Development, and Administration and Operation. Externally, the position liaises with WFJ boutiques across the UAE as well as suppliers and vendors.

Stock Management

• Oversee boutique stock movements, including incoming deliveries, transfers, special orders, stock balancing, and reserved items.
• Coordinate WFJ logistics with Brinks, covering secure high-value shipments and related validations.
• Plan periodic inventories according to the House strategy and boutique events.
• Review inventory outcomes and ensure the follow-up actions are completed.
• Prepare and send monthly stock inventory reports to the finance team.
• Perform stock quality checks and coordinate pieces requiring after-sales care.
• Maintain inventory for PLV and after-sales care materials such as boxes, bags, ribbons, and related tools.

Administration

• Arrange boutique supply orders and process incoming invoices in Coupa.
• Handle police permits and mall permits, including submission and follow-through.
• Build and update the monthly schedule in My Schedule App, including leave planning for the team.
• Support the onboarding of new joiners and help prepare induction materials.
• Serve as the primary contact for maintenance and facility issues, coordinating with the Store Planning team.

Boutique Operations

• Keep the safe and back-of-house areas organized in line with CHANEL’s operational standards.
• Make sure all established procedures are consistently followed.
• Identify opportunities to improve workflows and introduce new procedures when necessary.
• Apply best practices to strengthen boutique efficiency and operational discipline.

Required Profile

The ideal candidate brings strong organization and planning abilities, along with good analytical thinking. Comfort with computer systems and digital tools is important. The role also calls for quick response capability, strong interpersonal skills, and excellent spoken and written English.
