Role overview
This position supports the launch and day-to-day running of a new Melbourne office, with responsibilities spanning administration and procurement. The ideal candidate is highly organised, takes initiative, enjoys helping build a workplace from the ground up, and is eager to grow alongside the business as the office expands. The role also serves as a communication link between the Melbourne team, local suppliers, and the overseas head office, so strong Mandarin and English communication is essential.
Office administration
Most of the role is focused on keeping the workplace operating efficiently and ensuring the office has the support it needs.
- Coordinate day-to-day office operations and manage suppliers covering facilities, equipment, cleaning, maintenance, and security.
- Monitor and replenish office stationery and pantry stock, while keeping track of company assets.
- Work with building management, internet and telephone providers, and other service vendors.
- Maintain office records, including contracts, licences, and other important documents.
- Arrange access and setup for new employees, such as laptops, email accounts, and access cards.
- Assist with basic HR administration when required, including interview scheduling and onboarding paperwork.
- Support the organisation of team meetings, staff gatherings, and celebrations.
Procurement
A smaller part of the role involves managing purchasing activities for the office and supporting cost-effective supply decisions.
- Handle procurement for office equipment, IT devices, and everyday consumables based on team requirements.
- Identify, assess, and build working relationships with local suppliers in Melbourne.
- Gather and compare quotations, monitor spending, and assist with purchase orders and payment processing.
What you should bring
The role calls for someone with strong administrative ability, sound judgement, and the confidence to act as a bridge between teams in different locations.
- Fluency in both Mandarin and English, written and spoken.
- One to two years of experience in administration, office management, or procurement.
- Strong planning, coordination, and communication skills.
- Comfort using Microsoft 365 tools, especially Outlook, Teams, and Excel, with the ability to learn new systems quickly.
- A professional and discreet approach when dealing with sensitive information.
- Trustworthiness and reliability when handling company assets and procurement budgets.
- Eligibility to work in Australia without restrictions.
