Job overview
Styli is looking for a seasoned and highly organized administration leader to head its administrative operations in Dubai. This position is responsible for keeping day-to-day office functions running efficiently, strengthening processes, and ensuring administrative work is executed smoothly across the business. The right person will bring strong leadership, a strategic approach, and solid experience in administrative management.
Key responsibilities
- Keep daily office operations, facilities, and resources well coordinated so the administration function runs without disruption.
- Review and refine office policies, procedures, and workflows to improve efficiency and lower operational expenses.
- Assess and introduce an expense management solution where needed.
- Prepare the annual administration budget, forecast requirements accurately, and align planning with organizational needs.
- Track actual spending against budget, study variances, and apply cost-control actions.
- Build and manage the administration budget with a focus on cost-effective operations.
- Handle procurement activities, including supplier sourcing, vendor coordination, contract negotiation, and timely delivery of office goods and services.
- Maintain strong relationships with external providers such as office facilities, utilities, and security vendors.
- Lead the setup of new office locations, including space planning, vendor alignment, infrastructure readiness, and execution timelines.
- Oversee building upkeep, office arrangement, space usage, and maintenance of infrastructure and equipment.
- Coordinate office expansion, relocation, and technology or equipment maintenance initiatives.
- Drive internal projects such as office moves, employee events, system rollouts, and infrastructure upgrades.
- Ensure projects are completed on time, stay within budget, and keep stakeholders informed.
- Make sure administrative operations comply with applicable laws, regulations, and internal policies.
- Identify operational risks within administration processes and put mitigation plans in place.
- Lead, coach, and support the administration team to maintain strong performance and professional growth.
- Set departmental goals, objectives, and performance measures.
- Serve as the primary contact for administrative matters across the organization.
- Work closely with senior leadership so administration supports broader business priorities and company initiatives.
Requirements
- Bachelor’s degree in Business Administration, Operations Management, or a related discipline; a master’s degree is preferred.
- At least 8 years of experience in administrative leadership, including 3 years in a managerial role.
- Background in budgeting, vendor management, and facilities management.
- Strong planning, problem-solving, and multitasking abilities.
- Proven leadership skills with the ability to manage and develop a team.
- Excellent verbal and written communication and interpersonal skills.
- Good command of office administration tools, systems, and software.
- Ability to manage multiple projects and deliver within deadlines in a fast-paced setting.
- Experience in process improvement or digital transformation is an advantage.
- Comfort with project management software is preferred.
- Knowledge of HR workflows and employee onboarding is a plus.
- Some travel may be needed for site visits or vendor coordination.
