Overview
Kirby Group Engineering is hiring a Junior Project Planner for its Kildare location on a permanent basis. The role sits within a strong pipeline of work spanning more than five years and offers the chance to contribute to advanced engineering projects while developing a long-term career.

Role Purpose
This position supports Kirby’s planning function for a data centre project in Germany. You will work with Project Managers, Engineers, and Commercial teams to help ensure delivery remains on track, within scope, and mindful of project risks. The ideal candidate is detail-focused, technically capable, and comfortable working in a demanding environment.
Key Functions
- Assess contract documents and identify the key scheduling and tracking obligations.
- Prepare construction programmes based on the target schedule and work breakdown structure provided by the Project Manager.
- Assist with schedule discussions and negotiations with the client.
- Load labour and metrics into the programme using hours and quantities supplied by the Commercial team.
- Create trackers and reporting templates needed for project control.
- Build a fully integrated construction schedule in coordination with the main contractor and Project Manager.
- Monitor weekly progress and productivity with the site team and formally validate it with the Commercial team every two to three weeks.
- Flag emerging risks and obstacles to the project team and lead planner on an ongoing basis.
Responsibilities
- Act as the main planning contact for the Project Manager on project-related matters.
- Develop schedules and histograms for bid support when requested by the Lead Planner.
- Support the rollout of the planning process.
- Review contractual requirements for scheduling and reporting and help ensure full compliance.
- Help arrange and run planning meetings where needed.
- Check the high-level target schedule against current IFC information and confirm its validity.
- Improve the construction programme and prepare a pinch point register to highlight areas of disagreement with the main contractor or CMT schedule.
- Build the labour-loaded target programme and produce the S-curve.
- Submit the schedule, S-curve, and all later revisions to the Lead Planner for review and approval.
- Develop a negotiation approach for managing main contractor schedule risk and work toward a favourable outcome for Kirby Group Engineering.
- Coordinate with the Kirby Project Manager and attend meetings with the main contractor/CMT to agree the preferred build sequence, then record and circulate the minutes.
- Revise the schedule and add the necessary level of detail once agreements are reached.
- Support the main contractor/CMT in creating an overall integrated schedule.
- Ensure the programme remains labour-loaded and aligned with commercial budgets, and alert the PM, Lead Planner, and Planning Manager to weeks with significant forecast progress.
- Prepare build methodology and phasing drawings.
- Present the latest schedule version to the construction team to ensure everyone understands the plan.
- Support risk identification and mitigation activities.
- Provide early-warning communication to project management based on progress reports and site conditions.
- Recommend ways for project teams to improve performance.
- Track package progress and efficiency for direct and subcontract labour and provide an estimate-at-completion for labour man-hour spend with the Commercial team.
- Chair and support weekly on-site look-ahead meetings with site managers as required.
- Record, measure, and compile actual installation progress for progress reporting.
- Produce weekly spent and earned man-hour efficiency reports with the Commercial team.
- Prepare and issue periodic progress reports, including internal, external, and dashboard formats.
- Create weekly drop-line schedules with a two-week look-ahead and two-week retrospective.
- Maintain and update schedules as the project progresses.
- Escalate risk items to the Lead Planner and Planning Manager.
Requirements
- A third-level qualification in Electrical Engineering, Mechanical Engineering, Building Services Engineering, Quantity Surveying, Construction Management, or a strong trades background with technical capability will be considered.
- Ideally, you will have around 2 years of experience, or be able to demonstrate the ability to develop, apply, monitor, and control plans.
- You must be able to create project plans using design and commercial information.
- Experience with Microsoft Project, Primavera P6, or similar planning tools is required, along with strong Microsoft Office skills.
- Excellent report-writing ability is essential.
- Strong time management is needed to handle a busy schedule and reporting cycle.
