Role Overview
This opportunity is for a polished, highly adaptable Executive Assistant to partner with the Managing Director in a large multinational matrix setup. The position calls for strong judgment, high discretion, excellent coordination abilities, and confidence working in a visible, fast-moving environment.
You will serve as a dependable support partner to the MD by keeping priorities aligned, handling executive communications, supporting governance-related work, and coordinating smoothly across regional and global stakeholders.
Executive and Calendar Coordination
- Run intricate calendars that shift across time zones and changing business priorities.
- Organize leadership meetings, strategic reviews, board-related discussions, and regional or global forums.
- Plan schedules, travel, and business commitments so the MD’s time is used effectively.
- Spot scheduling clashes early and manage adjustments proactively to protect executive productivity.
Stakeholder Management
- Act as the main point of contact between the MD and internal or external stakeholders, including senior leaders, global teams, clients, and partners.
- Develop productive relationships across departments and organizational levels.
- Manage confidential and sensitive matters with a high level of discretion and professionalism.
Executive Communication and Content Support
- Prepare executive-level communications, presentations, and speaking notes for senior leadership.
- Bring together inputs from multiple parts of the business and convert them into clear, structured messages for leadership meetings, town halls, customer interactions, and external events.
- Use strong communication and stakeholder skills to influence, challenge where needed, and align contributors to produce high-quality deliverables.
- Keep documentation and organization systems well maintained and easy to follow.
Candidate Profile
- A bachelor’s degree is preferred.
- At least 5 years of experience supporting C-suite or Managing Director-level leaders in a multinational or matrix organization.
- Strong experience handling complex stakeholder coordination and executive support.
- Excellent communication, presentation, and interpersonal abilities.
- Professional, mature, and highly trustworthy approach to confidential information.
- Strong planning skills with the ability to manage several priorities under tight deadlines.
- Comfortable using Microsoft Office and collaboration platforms.
