Role overview
Citywire Deutschland is looking for an initiative-taking and highly organized Team Assistant to support its expanding team in Germany. In this role, you will help keep the office running smoothly while providing day-to-day assistance across administrative, research, and coordination tasks. The position is hands-on and varied, making it a strong fit for someone who enjoys taking ownership, solving problems, and being a reliable support in a busy office environment.
You will work closely with colleagues across different functions, so strong teamwork, the ability to juggle multiple tasks, clear communication, and a sharp eye for detail are all important.
Key duties
- Support the Managing Director and wider team with a broad mix of tasks, including secondary research on topics such as new markets, investor groups, and asset classes, as well as helping prepare internal presentations, event launches, and HubSpot marketing campaigns.
- Coordinate internal strategy days and offsite meetings, and assist with managing HubSpot event pages and email marketing activity.
- Provide dependable, flexible help on projects and ad hoc tasks as needed, ranging from desk planning to straightforward data entry.
- Help ensure the office remains well stocked and operational by ordering supplies, arranging breakfast and refreshments, and handling basic communication with the landlord and other contacts.
- Process incoming invoices, manage correspondence with German authorities such as social insurance bodies, and coordinate with HR and accounting teams in London when required.
- Arrange team travel, including BahnCard setup and booking-related tasks.
What the employer is looking for
The ideal candidate will have some prior exposure to a team assistant, administrative, or office coordination role. Fluency in both German and English, spoken and written, is essential, and native-level German would be a strong advantage.
Good Microsoft Office skills are required, along with a willingness and ability to learn tools such as HubSpot. You should communicate clearly, feel confident working with different teams and external contacts, and be comfortable taking initiative, spotting what needs doing, and acting quickly. Strong reliability, attention to detail, and the ability to prioritize tasks and handle several deadlines at once are also important.
