About the Role
Inkitt is seeking a People and Office Coordinator to help deliver a strong employee experience while ensuring the San Francisco office operates efficiently. This position suits someone who enjoys working in a fast-moving, people-first setting and likes creating thoughtful experiences that connect teams. You will serve as a key point of contact for employees, support People Operations, and help keep office systems organized. As the company grows, the role is increasingly technical, and comfort with AI-enabled automation is important for improving office and people processes.
Role Split
This position is divided equally between Office Coordination and People Operations, with 50% of time dedicated to each area.
Office Coordination
- Manage the South Park office on a daily basis so the workspace remains orderly, practical, and inviting.
- Handle office supplies, inventory, swag, and vendor coordination, while looking for ways to use AI and automation to improve tracking and reordering.
- Organize and deliver in-office events such as happy hours, culture-building activities, offsites, All Hands meetings, and CandyJar movie premieres.
- Work with the facilities team and landlord on repairs, security matters, and other building-related needs.
- Welcome visitors and create a friendly, professional front-of-office experience.
People Operations
- Support the Director of People Operations with end-to-end onboarding, including contracts, pre-start communication, session scheduling, workspace and equipment preparation, system access, and employment verification.
- Maintain employee changes in Rippling and ensure records stay accurate and current, using scripts and automation to reduce repetitive data entry across HR systems.
- Assist with surveys and broader employee wellbeing and culture initiatives.
- Help maintain compliance with employment and benefits-related regulations.
- Serve as the main contact for employee questions related to benefits, leave, and time off.
What You’ll Need
- At least 2 years of experience in People Operations, Office Management, or a similar role in a fast-paced environment.
- Practical experience handling office or workplace operations such as vendors, supplies, facilities coordination, or on-site event support.
- Strong ability to juggle multiple tasks, prioritize effectively, and manage time well.
- Experience using HRIS tools such as Rippling or comparable platforms.
- Confidence with Slack, Google Workspace, Zoom, and Google hardware to support smooth office operations.
- Strong technical curiosity and hands-on use of AI tools for automation, including Google Apps Script and LLMs for drafting communication, summarizing information, or building operational workflows.
- A proactive, solution-focused approach and a genuine interest in employee experience and office culture.
- Excellent communication and interpersonal skills.
- Exposure to HR compliance and employment regulations is a plus.
