Role Summary
The Office Manager will be the first point of contact for Pattern Toronto and will help create a polished, welcoming, and high-service environment for employees, guests, partners, and board members. This role sits at the center of the Toronto office’s daily activity and is responsible for ensuring that every interaction reflects the company’s culture and standards. The right person will be organized, reliable, personable, and able to keep operations moving smoothly while bringing a positive presence to the workplace.
This is an onsite position, with work performed Monday to Friday from 8:00 AM to 5:00 PM.
Key Responsibilities
- Oversee relationships with external vendors supporting the Toronto workplace, such as food, wellness, and supply providers.
- Coordinate onboarding for any new Toronto workplace vendors and act as the main contact for workplace operations vendors.
- Ensure vendor onboarding and payments are completed efficiently and in line with company processes and guidelines.
- Support front desk operations and help maintain a professional, inviting experience for visitors and clients.
- Respond to employee questions, anticipate needs, and provide timely, practical solutions.
- Issue badges and parking passes for new Toronto employees.
- Work with the Senior Director, Workplace Operations and Experience to support space planning, office expansions, remodels, and layout changes.
- Coordinate office move logistics for the Toronto location.
- Partner with leadership to manage facility-related matters, including maintenance, space planning, and office improvements.
- Work with Workplace Operations and EHS teams to support compliance with health and safety requirements.
- Own communications to Toronto office employees about office events, operational changes, and workplace updates.
- Coordinate company events from small meetings to larger corporate gatherings, managing both logistics and execution.
- Handle event planning details including venue selection, vendor negotiation, and budget management.
- Partner closely with executive assistants, administrative assistants, and other departments to support in-office needs.
- Lead Toronto office-related projects and initiatives, including training and coordination with cross-functional teams.
- Provide executive assistant support to office-based leaders, including calendar management, travel booking, and expense reporting.
- Support team executives with scheduling, tracking action items, follow-ups, and organizing department meetings or offsites.
Qualifications
- At least 5 years of experience in office management, administrative support, or operations.
- Strong organization and multitasking capabilities.
- Clear written and verbal communication skills.
- Comfort using Microsoft Office, including Excel, Word, and Outlook.
- Ability to manage confidential information with professionalism and discretion.
- Adaptable, resourceful, and confident in a fast-moving environment.
- Background in a startup or high-growth setting.
- Experience supporting workplace operations or event coordination.
- Working knowledge of budgeting and vendor management.
- Friendly, approachable, and engaging interpersonal style.
Compensation and Benefits
The expected starting base salary for this role is CAD 86,000 to CAD 108,000 per year. Final compensation may vary based on factors such as location, experience, certifications, and education. In addition to base pay, full-time employees are eligible for a bonus structure.
