Role overview
We are seeking an Executive Assistant to support senior leadership within the Commercial & Investment Bank in Dublin. This position sits in a fast-moving, deadline-focused environment and requires a polished professional who can manage sensitive information, coordinate complex schedules, and help keep day-to-day operations running smoothly. The role calls for strong teamwork, sound judgment, and the ability to represent the manager and team with professionalism.
Key responsibilities
- Keep complex calendars up to date and well organized.
- Answer and screen calls, judge urgency, and share information carefully and appropriately.
- Plan and coordinate internal and external meetings, including all logistics.
- Arrange domestic and international travel with attention to detail.
- Handle end-to-end planning for offsite meetings, conferences, and external events, including catering and transport.
- Prepare invoice processing and travel and entertainment expense claims while following internal policies and approval guidelines.
- Create clear, professional emails and messages for stakeholders across all levels.
- Keep organizational charts and executive biographies current.
- Manage routine tasks independently, flag issues or delays in advance, and support ad hoc projects as needed.
- Edit spreadsheets and presentations, and assist with printing and binding for client-facing meetings.
- Partner closely with other administrative assistants to provide seamless team support.
Required experience and skills
- Minimum of 3 years' experience in administrative support.
- Strong organizational ability and comfort juggling multiple priorities.
- Discretion, tact, and good judgment when dealing with confidential matters.
- Experience working with senior leaders.
- Excellent verbal and written communication skills.
- Strong Microsoft Office proficiency.
- Professional telephone manner and the ability to manage competing calendar demands.
Preferred background
- A college degree is considered an advantage.
- Prior experience supporting leaders at Managing Director level or an equivalent senior rank is preferred.
