Role overview
This role provides senior-level administrative support to one General Manager and two Vice Presidents within a busy, collaborative environment. The position calls for a highly motivated professional who can handle multiple priorities, stay organized under pressure, and contribute to additional business projects assigned by the General Manager.
The role sits within the Professional Products Division in Hudson Yards, New York, and reports to the GM, Color Wow DMI.

Key responsibilities
- Handle complex calendar coordination on a daily, short-term, and long-term basis across teams, divisions, and the wider company.
- Prepare meeting agendas and supporting reports for important discussions.
- Track and follow up on requests involving Corporate, divisions/brands, and the Paris office.
- Arrange business travel and manage related logistics.
- Prepare expense reports in line with company policy.
- Organize visits for leaders from global headquarters and subsidiary offices.
- Write, refine, and distribute internal updates and major announcements.
- Manage external correspondence, mailings, and communication with key customers and teams.
- Set up and maintain purchase orders, vendor-related workflows, and other administrative systems.
- Support meetings and events with catering, technology setup, and general logistics.
- Help plan and run small team events, celebrations, and engagement activities.
- Provide broad administrative support to the office team.
- Oversee floor space coordination, maintenance needs, and office supply management.
Requirements
- At least 5 years of administrative experience in a corporate setting.
- A commitment to a long-term administrative role.
- Bachelor’s degree preferred.
- Strong professionalism and the ability to manage highly confidential information.
- Excellent organizational and interpersonal abilities, with confidence working across all levels internally and externally.
- Strong written and verbal communication skills.
- Ability to stay organized while managing several tasks, deadlines, and competing demands.
- Sound judgment, discretion, and the ability to work with minimal guidance.
- Advanced proficiency with Word, Excel, PowerPoint, Outlook, Teams, SharePoint, SAP Concur, and Egencia.
- Comfort with learning new tools and systems quickly.
- Proactive mindset with strong initiative and creative problem-solving ability.
- Ability to collaborate effectively across functions and teams.
- Positive attitude, resourcefulness, teamwork, thoroughness, reliability, agility, and resilience are important for success.
