Role Overview
The Timecard Coordinator supports the timecard workflow for contingent workers, helping ensure payroll is processed accurately and on time. This role focuses on fixing timecard errors, reducing payment issues, checking meal break entries against state-specific rules, and handling related service and administrative tasks. The coordinator also works closely with Payroll and Workforce Support teams to provide guidance and maintain a positive experience for contingent workers.
Key Responsibilities
- Gather, examine, and process timecard reports for contingent workers while ensuring accuracy, completeness, and compliance with company policies and applicable state laws.
- Review meal break entries to confirm they meet state-specific requirements and collect attestations when needed, including support for meal break penalty handling.
- Investigate and resolve timecard problems such as missing entries, rejected records, and incorrect hour types by coordinating with workers and internal teams.
- Check timesheet uploads to verify they were received correctly and that the data is intact.
- Prepare and share specific client reports with internal stakeholders as requested.
- Raise tickets for timecards submitted after deadline in line with payroll cutoffs.
- Issue weekly and monthly updates to leadership covering unresolved timecard concerns.
- Support contingent workers with direct deposit updates, preferred payment method changes, and tax form assistance.
- Answer questions related to timekeeping and payroll, escalating issues when appropriate.
- Handle setup requests for meal break profiles.
- Carry out additional assigned duties as needed.
Required Experience and Skills
- At least 1 year of relevant experience in timecard collection, payroll data entry, or payroll-related work.
- Strong spoken and written communication skills, with comfort speaking clearly and professionally over the phone.
- Good numerical ability and a sharp eye for detail to spot issues in data and records.
- Patience, accountability, and the ability to keep information confidential.
- Ability to adapt to shifting priorities and stay focused while working independently.
- Solid working knowledge of Microsoft Office tools, especially Microsoft Excel.
