The Role

We are hiring a Project Coordination Specialist to support project management activities and reporting for major infrastructure programmes. In this position, you will work alongside Project Managers and the PMO to help keep project delivery on track, maintain governance standards, and contribute to the smooth progression of complex projects from planning through to completion.

Key Responsibilities

  • Contribute to the delivery of large infrastructure projects in partnership with the Project Management Office.
  • Help prepare and update project management plans covering scope, schedule, cost, quality, resourcing, communications, risk, procurement, and stakeholder coordination.
  • Support governance processes and assist with reporting updates for senior leaders and other key stakeholders.
  • Develop productive working relationships across teams, encourage good practice, and support sharing of knowledge.
  • Manage project communications such as meetings, reports, presentations, and document handling.
  • Keep project records organised through document control systems, with accurate version control and controlled circulation of information.
  • Track project progress, actions, risks, issues, budgets, and deliverables, and follow up to ensure actions are closed out.
  • Maintain project control tools such as programmes, financial trackers, risk registers, issue logs, and action logs.
  • Support stakeholder and community engagement tasks when needed.
  • Assist with procurement, purchase orders, contract administration, and monitoring spend against approved budgets.
  • Prepare monthly financial reporting, including budget comparisons and cost projections.
  • Help ensure compliance with Health & Safety requirements and support continuous improvement efforts.
  • Take part in performance management activities and contribute to team goals.

Requirements

  • A third-level qualification in Engineering, Business, Project Management, or a similar field is required; a postgraduate qualification or certification such as PMP is considered an advantage.
  • At least 1 year of experience in project coordination supporting large infrastructure, engineering, construction, or energy projects.
  • A solid grasp of project management practices and governance frameworks.
  • Strong communication, organisation, report writing, and stakeholder management abilities.
  • Confident use of Microsoft Office and Microsoft Project.
  • Experience with document management tools such as SharePoint, ProjectWise, ShareFile, or comparable systems is strongly preferred.
  • Capability to balance several priorities and operate effectively in a team-based project setting.
