Role Overview
The Payroll & Benefits Administrator will oversee accurate and on-time handling of payroll, employee benefits, contractor payments, and connected HR systems. Reporting to the Payroll Manager, this role acts as a central support point for employees, managers, and outside vendors while helping ensure adherence to federal, state, and local rules. The position also includes support for HR technology administration, leave programs, compliance reporting, and ongoing improvement efforts.
Payroll Administration
- Run U.S. hourly payroll every two weeks in ADP Workforce Now, keeping it accurate, timely, and aligned with company policy and legal requirements.
- Step in as backup for semi-monthly salaried payroll in the U.S. and payroll operations in the UK.
- Handle deductions related to child support, garnishments, tax levies, and similar payroll orders.
- Answer payroll questions from employees and managers.
- Work with third-party providers to process employment verification requests.
- Support payroll audits, reconciliations, and year-end work when required.
Contractor Administration
- Oversee the full contractor process, including HRIS record maintenance, status updates, renewals, and terminations in ADP Workforce Now for recordkeeping.
- Process contractor payments twice a month through Deel.
- Act as the main administrator for Deel, including access management, reporting, data accuracy, and workflow improvement.
- Keep contractor data complete, accurate, and compliant with company policy and applicable regulations.
Benefits Administration
- Support administration of employee benefits such as medical, dental, vision, life insurance, disability, and other voluntary plans.
- Own and manage the Benefits Portal in ADP Workforce Now.
- Set up and administer the annual Open Enrollment process in ADP Workforce Now.
- Coordinate Evidence of Insurability processes for employees choosing supplemental life coverage.
- Manage domestic partner affidavit documentation and eligibility checks.
- Investigate and resolve enrollment mismatches between ADP Workforce Now and benefits carriers or vendors.
- Troubleshoot benefit vendor file feeds and integrations and help keep them running smoothly.
- Complete benefits non-discrimination testing and assist with yearly compliance tasks.
- Respond to employee questions and issues related to benefits enrollment.
Compliance and Leave Administration
- Prepare and send annual ACA reporting forms, including 1095-C and 1094-C.
- Stay current on state leave requirements, track leave accurately, and partner with the relevant HR business partner on employee communications.
- Handle verification requests for medical support orders.
- Respond to unemployment insurance claims and employment verification requests.
- Maintain compliance with payroll and benefits rules at the federal, state, and local levels.
Systems Administration Support
- Keep payroll, benefits, and contractor systems accurate and in sync.
- Help with system rollouts, upgrades, testing, and issue resolution.
- Create recurring and on-demand reports for Payroll, HR, Benefits, and Finance teams.
- Serve as backup administrator for ADP Workforce Now, the UK payroll platform iHCMs, and the international payroll tool Deel.
Process Improvement and Special Projects
- Look for ways to improve payroll, benefits, and HR admin workflows through automation and system enhancements.
- Support special assignments, including SharePoint administration and upkeep of employee-facing payroll, benefits, and HR resources.
- Build and maintain process documentation, training guides, and standard operating procedures.
- Contribute to cross-functional efforts with Payroll, HR, Finance, and Operations.
Qualifications
Required
- A bachelor’s degree in Human Resources, Business Administration, Accounting, Finance, or a related discipline; equivalent education and experience will also be considered.
- At least 3 years of experience in payroll and benefits administration.
- Background processing hourly payroll in ADP Workforce Now across multiple states.
- Experience managing employee benefits programs and vendor relationships.
- Solid knowledge of payroll tax, garnishments, ACA, and benefits compliance.
- Strong command of Microsoft Excel and reporting tools.
- Well-developed analytical, organizational, and problem-solving abilities.
- Ability to handle sensitive information discreetly and professionally.
- Excellent written and spoken communication skills.
- Comfortable working in environments with change and ambiguity.
- Strong interpersonal skills, curiosity, and a positive attitude.
Preferred
- Experience using Deel for contractor management.
- Exposure to international payroll processes.
- ADP Workforce Now system administration experience.
- Experience with HRIS implementations, integrations, and automation.
- CPP, FPC, or a benefits-related certification.
Success Measures
- Payroll is processed accurately and on schedule with very few corrections.
- Employees report strong satisfaction with payroll and benefits support.
- Annual compliance tasks such as ACA reporting and non-discrimination testing are completed successfully.
- HRIS, payroll, benefits, and contractor data are maintained accurately.
- Process improvements are identified and implemented to increase efficiency and reduce administrative workload.
